Description

The Administrator, Student Affairs is a key front-line member of the office on the Gloucester campus. The Administrator assists the Director of Student Affairs & Military Services as well as the Associate Vice President of Student Engagement with assignments and a variety of program initiatives related to carrying out the functions and responsibilities of the offices of Student Affairs and Student Engagement. The Administrator provides direct assistance to the Director, Student Affairs and Military Services. The Administrator maintains a high degree of confidentiality in dealing with sensitive matters and involves a high level of student contact and collaborates with other areas to ensure a student-centered culture across campus.

Examples of Duties
  • Serves as the primary point of contact for in-person, on-line and telephone inquiries directed to the Director, Student Affairs and Military Services.
  • Maintains, updates, and follows-up on student inquiries and concerns to assist students, in line with college policy and procedures, while tracking all relevant communications with students in databases.
  • Gathers relevant information for problem resolution for student issues. Uses strong knowledge of college policies and systems to assist students with problem-solving.
  • Collaborates with other departments to assist in resolving student issues or concerns.
  • Facilitates the student Administrative Action Request appeal and disciplinary processes and prepares correspondence generated by these processes.
  • Meets with students and answers questions, explaining College policies/procedures/services and refers to appropriate campus support services.
  • Coordinates appointments and communication between faculty/students and the Director, Military Services & Student Affairs.
  • Researches information necessary for student background checks, office reports, and student case files.
  • Maintains files for the Office of Student Affairs, in compliance with FERPA and record keeping policies.
  • Maintains stock of office supplies and promotional materials for Student Engagement and Student Affairs, placing orders when needed.
  • Tracks and monitors attendance for office and large-scale college events. including commencement, meetings, and related activities.
  • Assembles materials, sets up, and breaks down for large events, including but not limited to Commencement and related ceremonies.
  • Oversees part-time support staff, as required.
  • Performs other duties, as assigned.
  • Minimum Qualifications
  • Associate degree required. Bachelor’s degree preferred.
  • Bachelor’s Degree with three years of progressively responsible experience in higher education student services required.
  • 2-4 years of Higher Education experience, Student Services/Student Affairs experience preferred.
  • Experience with Higher Education Software, Ellucian Banner/Colleague or Anthology preferred.
  • Excellent computer skills, including proficiency in all Microsoft Office applications including Word, Excel, and Access
  • Ability to handle sensitive, confidential matters with sensitivity and discretion.
  • Willingness to work flexible schedule with variable hours at multiple locations and some evenings and weekends.
  • Ability to work independent with discretion, maintain confidentiality, and exercise sound independent judgment.
  • Possess the ability to work well and communicate effectively with prospective and current students, staff, faculty, administration, and colleagues and community partners.
  • Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, and ethnic backgrounds of community college students, faculty, and staff and a commitment to a student-centered environment.
