Job Summary


Provides Administrative Support to the College of Education's six academic departments, six department chairs, Dean's Office, and over 100 full time faculty. This support includes extensive course building and scheduling, hiring documentation management, purchasing and inventory management, preparing marketing materials, and general faculty support. Must be able to successfully pass a Purchasing Card credit check.

Responsibilities


30% - Course Building Completes complex course building for six academic departments (on average 650 courses per semester). Collaborates with department chairs and assistant chairs for specific course/section scheduling and changes. Ensures course schedules are accurate and adhere to UWG and USG requirements for modalities, enrollment, and credit hours. Monitors waitlists for relevant courses and communicates with administrators for appropriate action.

20% - Hiring Assists with hiring of part-time faculty for each of the three academic semesters. Completes the Authorization to Employ form for each employee and ensures accuracy of information and teaching schedule. Assists chairs with the Graduate Faculty status process.

25% - Marketing Assists six department chairs and assistant chairs with the preparation of marketing materials to advertise programs and schedule recruitment events for over 70 programs and degrees. Collaborates with UCM on marketing policies and procedures.

25% - Purchasing and Other duties Assists six academic departments with establishing vendors, preparing quotes, making purchase orders, maintaining p-card documentation and processes, and receiving orders. Oversees the registration override process for six academic departments (over 4000 students) to ensure timely approvals and student registration for courses each semester. Provides Administrative Support to six department chairs, 18 assistant chairs, and 100+ faculty as needed. Supervises student assistants in COE Central Support.

Required Qualifications


Educational Requirements
High School diploma or equivalent
Required Experience
A minimum of four years of administrative experience or a combination of training, education and experience. Must successfully pass a credit check for purchasing responsibilities.

Experience with USG and/or UWG systems and platforms for hiring and course scheduling.
