Business and Office Manager:
- Oversee implementation and administration of policies and procedures for assigned unit(s). Assure quality control and make recommendations for improvement of work methods and technology to increase productivity. Ensure administrative matters are managed in a timely and effective manner. Coordinate staff recruitment. Provide new employee onboarding; liaise with human resources on Director’s behalf on staffing and recruitment activities.Research, analyze, and summarize information and source materials for reports and communicate findings orally and in writing.Prepare and revise manuscripts, correspondence, charts, forms, and other materials. Identify grant opportunities relevant to the work of the Counseling Center and prepare grant applications.Monitor and ensure compliance with grant requirements.
- Prepare budgets and draft budget justifications in consultation with the director.Ensure that projects/budgets comply with all appropriate payroll, reimbursement, accounting and personnel policies and practices. Conduct a wide range of budget analyses and make recommendations. Assist with communications to stakeholders regarding budgetary issues. Prepare and distribute accurate and timely quarterly and year-end close out reports and financial information which may include projections of budget vs. actual; submit financial reports and documentation as required. Develop, monitor, analyze, forecast, and report annual budgets, payroll charges; make recommendations and bring financial/other concerns to director’s attention.Ensure that expenses are appropriately charged to grant, and encumbrances accounts are thoroughly reviewed, taking corrective action as needed. Analyze monthly P-card reconciliations for compliance; initiate and/or approve requisitions, POs/non-POs, and other financial transactions. Assists in data collection for internal/external reports as well as conducting analysis and implementation of national accreditation committee recommendations.
- Direct supervisory responsibility of three non-exempt employees: Full-time Front Office Coordinator (Administrative Assistant II), Administrative Assistant I, Part-time Administrative Assistant I, and student workers, including the student advisory board activities. Determines work priorities, plans, schedules, assigns, monitors workflow, and steps in to cover front desk as needed, maintaining necessary knowledge to cover the desk competently. Provide administrative oversight and guidance to staff on a host of HR issues.Handle complaints, resolve conflicts and participate in the performance review and grievance process.Administrative oversight of front office policies and procedures: establishes and ensures compliance with front office policies, procedures, and protocols; annually evaluates front office policies, procedures and protocols and implements data-informed revisions.
- Ensures compliance with TU guidelines in all recruitment and hiring activities. Develops instructional materials, onboarding protocols, and implements training procedures for all new staff and trainee.
- Building Coordinator for the center; maintains office equipment and determines procurement needs.
Qualifications and Skills
- Bachelor’s degreeThree years of professional work experience. Experience with budget allocation and management.Excellent supervisory skills including critical thinking, time management, ability to prioritize, excellent problem-solving skills, excellent interpersonal and communication skills, ability to deliver effective feedback, and skills with conflict management. Comprehensive institutional knowledge of UMS policies and procedures and the institutions purpose, mission, goals.Ability to communicate effectively.Ability to plan, organize, prioritize, and execute complicated and continuing assignments without instruction, to manage business office operations.Skill and interest in being a part of a smoothly operating professional organization, promoting harmony and efficiency in the work of the department. Interpersonal skill in respectfully dealing with colleagues of varying professional backgrounds in a collaborative, harmonious, and mutually respectful manner.Previous experience using the Titanium Scheduling system would be helpful.
