Company Overview
Kairos Power is a new nuclear energy technology and engineering company whose mission is to enable the world's transition to clean energy, with the ultimate goal to dramatically improve people's quality of life while protecting the environment. This goal will be accomplished through the commercialization of the fluoride-salt-cooled, high-temperature reactor (FHR) that can be deployed with robust safety, affordable costs, and flexible operation to accommodate the expansion of variable renewables.
Job Summary
Kairos Power is seeking a highly motivated Administrative Services Manager to be responsible for the day-to-day office operations of our Alameda, CA Headquarters and Albuquerque, NM office, as well as managing a team of onsite administrative staff. In this role, you will interface with multiple departments and stakeholders, giving you an opportunity to learn the inner workings of a fast paced, multi-faceted organization. We are looking for a team player, with excellent organizational, communication and leadership skills, who is willing to roll up their sleeves to manage our daily office operations.
Responsibilities
Team Management
  • Manage and supervise the day-to-day operations of the administrative support team
  • Lead team development initiatives and provide coaching, guidance, and performance management
  • Oversee administrative processes and systems, devising ways to improve and streamline processes
  • Support the recruitment and hiring process of new administrative staff as needed

Office Management
  • Oversee Administrative Assistants and daily office operations of our Alameda, CA Headquarters and Albuquerque, NM facility including front desk reception, office management and mail handling
  • Manage office supplies, track inventory and purchase materials needed for general office usage
  • Organize, execute, and manage team meetings and events (all-hands meetings, off-sites, team social events, etc.) including scheduling, logistics and catering
  • Develop, review, and improve administrative systems, policies and procedures
  • Oversee office policies and procedures, ensuring compliance with company and regulatory requirements
  • Build and maintain relationships with external vendors and service providers, managing contracts and price negotiations
  • Handle office expenditures and monitor spend
  • Serve as primary point of contact for employees and external partners, delivering excellent service and support
  • Ensure continuity of office processes and programming across all locations
  • Manage company travel processes and cell phone program
  • Manage Corporate Apartments and associated logistics
  • Provide support and interface with Company Directors and Managers as needed in the areas of Legal, People Operations, Finance, Facilities, and EH&S
  • Other duties as assigned

Qualifications
  • Bachelor's degree preferred
  • 10+ years of experience managing office operations and administrative staff
  • Expertise in Microsoft 365 applications (e.g. Word, Excel, PowerPoint, Outlook), Zoom, Slack, and other software tools
  • Ability to maintain confidentiality
  • Strong interpersonal skills to interact positively with all employees and external vendors
  • Self-starter with strong organizational skills, attention to detail, and time management skills
  • Proven ability to work well under pressure and adapt quickly to change while maintaining a positive attitude
  • Demonstrated ability to plan, organize, prioritize, and execute simultaneous projects and activities
  • Strong customer service skills and the ability to build trust within the team
  • Excellent verbal and written communication skills
  • Ability to adapt to changing priorities, and support critical project needs across the organization
  • Experience in a fast-paced, high-growth startup, preferred
  • Ability to work with highly collaborative team
  • Ability to solve problems quickly and efficiently
  • Prioritizes and ensures safety of oneself and others
  • Notary Public a plus

Physical Conditions
  • Remaining in a stationary position, often standing, or sitting for prolonged periods
  • Moving about to accomplish tasks or moving from one worksite to another
  • Adjusting, moving, transporting, installing, positioning, or removing objects up to 20 pounds in all directions
  • Communicating with others to exchange information

  • High-concentration, demanding and fast-paced

Safety and PPE
  • Reading and interpreting hazardous warning signs

The salary range for this position is $103,300 to $121,500 for employees working onsite at our Alameda, CA headquarters. The range provided in this job posting represents the typical range or starting rate of candidates hired in California. Factors that may be used to determine your actual salary may include your education, experience, knowledge, skills, abilities, the market data for your work location, and a comparison to other employees already in the role.
