Salary/Position Classification
  • $35,000-$38,000 Annual, Non-Exempt (Eligible for overtime)
  • 40 hours per week

Purpose of Position

This position provides administrative and operational support to ensure efficient and effective operation of the Nursing Office of Student Services.

Duties & Responsibilities:

Program Support

  • Serve as liaison with university and/or online program management staff regarding documentation, records management, and student verification requirements.
  • Provide support to advising staff regarding database, records, and appointment management.
  • Assist in the processing of admission applications and associated documentation.
  • Manage DocuSign process through the creation, distribution, and collection of all required forms.
  • Develop and manage communication plan for OSS.
  • Assist in dissemination of admission letters and other communications.
  • Administer exams required for admission.
  • Assign newly admitted students to an OSS advisor.
  • Create, maintain, and distribute electronic advisor list to department chairs and update in Campus Connection
  • Update graduate progression sheets each semester and as necessary.
  • Process graduate admission applications
  • Monitor and update tracking spreadsheets
  • Track and update graduate progression sheets
  • Ensure undergraduate and graduate listservs are up to date and update as necessary.
  • Help track student progress – create and update spreadsheets as necessary.
  • Assist with graduate student letters.
  • Provide support with scholarships – sending letters, tracking thank you notes and any other related requirements.
  • Assist with events – orientation, pinning, and prospective student visits.
  • Assist with the MN Net Study process 20. Other duties as assigned.

Reception and Traffic Management

  • Greet, welcome, and provide a positive customer service-oriented experience (in person, via telephone or via email) to all visitors and clients (students, staff, faculty) of the Office of Student Services (OSS).
  • Provide information, direction, and answers to basic questions verbally and/or in writing when possible.
  • Ask customers qualifying questions to determine correct referral.
  • Orient students to drop-in and appointment making procedures and assist as necessary.
  • Receive and process incoming forms.
  • Maintain master calendar.
  • Other duties as assigned.

Records Maintenance

  • Monitor and maintain electronic copy student records, ensuring compliance with university and legal requirements.
  • Monitor and record student admission deposits.
  • Manage all electronic records and attend trainings when necessary.
  • Ensure all records are being recorded properly into electronic format.
  • Periodically audit electronic records.
  • Other duties as assigned.

Student Worker Supervision

  • Coordinate schedules and work assignments for student workers.
  • Monitor student worker performance and provide feedback to Director.
  • Other duties as assigned.

Minimum Requirements
  • Associate degree in business-related field or equivalent experience
  • Two years of administrative experience
  • Experience supervising others
  • Demonstrated proficiency with Microsoft Office software, especially with Excel
  • Successful completion of a Standard Criminal History Background Check

  • Experience in academic setting
  • 3+ years of administrative experience
