Administrative Front Office

Our Administrative Front Desk position is responsible for interacting with patients in a clinical setting and managing administrative tasks for our medical team. Duties include scheduling patient appointments according to provider availability, explaining intake forms to new patients, and processing payments after treatment.

As client-facing professionals, our Administrative Front Desk position plays a key role in representing our practice.

Duties and responsibilities for this role include:

  • Greeting patients professionally both in person and on the phone.
  • Quickly answering or properly referring patient questions and issues.
  • Optimizing provider schedules and patient satisfaction with efficient scheduling.
  • Notifying providers of patient arrivals.
  • Effectively answering questions regarding our policies, procedures, and payment.
  • Ensuring availability of treatment information by retrieving and updating patient records.
  • Verifying a patient’s credit card is on file and collecting payment at the time of the visit. Ensuring all proper HIPPA documentation is current.
  • Maintaining office & supplemental inventory and equipment by anticipating supply needs and expediting supply orders.

Administrative Front Office

This person is the first voice that our patients hear when they contact us and the first impression they have when they walk through our doors. We are looking for a cheerful person who greets patients with a compassionate smile, and a pleasant, friendly, knowledgeable disposition. We are seeking a professional who possesses excellent telephone skills and is willing to go the extra step to assist our patients. Our Front Office Team plays an integral role in creating a positive patient experience.

In this role, you'll use your skills to enhance the quality of the patient's experience, support our providers and clinical team, and guide patients through the scheduling and payment processes.

Job Responsibilities:

As a member of our Front Office Team, you will be responsible for:

· Answering phone calls

· Scheduling patients

· Collecting payments for services provided and products purchased

· Explaining the services that we offer

· Stocking retails and providing an inventory assessment

· Monitoring incoming faxes

· Responding to incoming clinic e-mails

· Returning phone messages

· Creating tasks and monitoring communication between patients, the clinical team and our providers

Qualifications:

· Experience in Customer Service in a healthcare setting preferred

· Medical Terminology course preferred

· Experience with Microsoft Word and Excel preferred

Skills Needed:

· Excellent communication and active listening skills

· Ability to always maintain patient confidentiality

· Ability to work with patients of all ages in a courteous and professional manner

· Attention to detail

· Dedication and commitment to our practice and its patients

· Knowledge of grammar, spelling, and punctuation to enter patient information and take appropriate messages

· Able to work in a fast-paced medical environment

· Ability to multitask while staying organized

· Patient-centered team player as well as capable of working independently

· Deep sense of compassion and empathy to be responsive to our patient’s needs

· Ability to prioritize in the moment with ease and flexibility

· Ability to anticipate needs and exceed patient service expectations

· Computer skills with a basic knowledge of Microsoft Word and Excel

· Maintain work area in a neat and orderly manner

Job Type: Part-time

Pay: $17.00 - $22.00 per hour
