Job Description
Job Purpose:
Receives and screens office visitors. Provides administrative and Corporate Support to all departments with general administrative and secretarial duties.
Duties:
A. Mitel Phone Relations and Management
1. Mitel report imports (monthly)
2. Incident reporting and case management
3. Orders and Returns
B. Marketing Administrative Duties
1. Order print materials from Office Depot; Office Depot account management
2. Sales Center: audit non-prospect calls; QA cases and NOA call tagging (weekly)
3. Add community events to AAAA calendar
4. Assist with or complete the fulfillment of marketing requests from stores
C. Miscellaneous Duties
1. Watch front desk; visitor coordination and package handling
2. Check Sitelink for store openings (each working day)
3. Postage Meter report; Postage Meter management; toner for ESI printers
4. Auction refund requests; Collections correspondence
5. New store and Terminating store checklists
7. Manage Alarm System codes
8. Reports & Owner Distribution letters (quarterly)
9. Stamp and mail checks; Mailing Claim letters and updating claim files
12. Verizon account maintenance
13. Stock restrooms and kitchen supplies
14. Event planning and birthdays
15. DMRs in NOA; NOA Library updates
Required Skills/Abilities:
- Knowledge of administrative and clerical procedures
- Excellent written and oral communication skills
- Reporting Skills, Writing Skills, Microsoft Office Skills with a focus on Excel and Word, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management and Negotiation Skills
- Working knowledge of POS software, Salesforce and/or other CRM software preferred
Education and Experience:
- High school diploma or equivalent required

- Work Schedule: M - F, (Friday the office closes at 1:30 pm)

Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds at a time.
