What You Will Achieve
Reporting to the Vice President, Head of Pfizer Brand, the Administrative Coordinator will serve as a critical player in the success of the team. Their role will provide comprehensive day-to-day administrative and select operational support to the VP and the team as a whole. They will be the point person on the team responsible for managing calendars and standing meetings, arranging travel, managing expense reports and purchase orders, planning select meetings and events, serving as the administrative liaison to other departments and helping support the roll out of new brand initiatives.
We are seeking a team member with impeccable organizational and anticipatory planning skills who is a strong communicator and thrives when working independently and in a proactive manner. This is the ideal role for a dynamic administrative professional seeking to gain new operational experiences within marketing.
How You Will Achieve It
  • Provides exceptional administrative support to the VP, Pfizer Brand and their leadership team
  • Owns the team calendar and proactively maintain complex calendar coordination in partnership with other administrative professionals by anticipating conflicts, prioritizing and resolving conflicts in advance
  • Manages full spectrum of travel arrangements/itineraries and timely management of expense reports
  • Coordinates activities for meetings/events including contingency and proactive planning (e.g., identifying external venues as needed, ordering food and AV equipment) and materials development and distribution
  • Manages and tracks the SAP – Ariba purchase order requisitions for the team and conducts monthly expense invoice tracking to budget
  • Manages and updates team sharepoint sites, tracks and triages team mailboxes, manages team distribution lists, and sets up and manages strong operational processes for standing marketing councils
  • Assist with onboarding of new colleagues as we grow our team, including updating organizational charts and ensuring appropriate resources and training
  • Occasional PowerPoint deck creation, and teams/presentation management during meetings, note-taking, and meeting summary distribution
  • Occasional support of new brand initiatives, including coordinating divisional communications, roll-out planning and project management
Qualifications
  • High School Degree or GED and 4+ years of related experience supporting a dynamic and growing team required
  • College degree preferred
  • Proven experience supporting senior leaders in a fast-paced, matrixed organization
  • Demonstrates exceptional communication (written and oral) skills, including email etiquette
  • Has expert knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Skilled in utilizing the Pfizer applications and systems, including but not limited to Ariba, ePA3 and Sharepoint
  • Strong analytic skills and experience in managing invoices, POs and budgets
  • Proactively balances tasks, activities and anticipates and resolves broad range of problems or conflicts and ability to guide others in processes (e.g., meeting conflicts, overlapping deadlines, IT issues, team interactions, etc.)
  • Thrives in a team-based environment and partners effectively with a range of stakeholders
  • Demonstrated project management and operational support experience and interest in growing these capabilities
  • Strong organizational skills and ability to develop efficient and effective systems to manage range of administrative and operational tasks
  • Takes personal accountability for quality of own work and can independently plan and execute work to meet assigned objectives
  • Excellent judgment to determine work methods in different situations and navigate internal organization and processes

The salary for this position ranges from $31.99 to $53.31 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
