Description
Wheeling University invites applicants for Administrative Assistant, full time for the Physical Plant/Facilities Department. The individual will provide administrative support to the Facilities and Physical Plant staff, students, and visitors.
This includes;
- Greeting visitors; answering phones; Possesses strong customer service skills with vendors, contractors and staff
- Processing department mail
- Maintaining office supplies
- Maintains confidentiality.
- Processing purchase requisitions
- Scheduling meetings and appointments
- Processing deposits, purchase orders, and invoices; monitoring and maintaining the department budget;
- Developing and maintaining a calendar/schedule of events; assisting with event paperwork, signage, and set-ups; attends, records and prepares minutes for construction and Physical Plant meetings;
- Tracks and maintains project management documentation for construction and renovation jobs; and composes, edits, types, copies and files statistical and financial reports, minutes, punch lists, contracts, and correspondence
- Oversee employee scheduling and time card maintenance.
- Capable of prioritizing work.
- Must be able to work with minimal supervision.
- Ability to work well with co-workers, other departments, and students.
- Proficient in the use of database systems used for payroll, facilities reservations, purchase orders, and work orders.
- Provides quality work on a timely basis with attention to detail.
- Collects and organizes data
- Insures that departmental / area mandated requirements are documented and maintains training and certifications necessary to perform essential functions.
- The successful candidate must be committed to the academic and athletic success of the student-athlete and be able to support and promote the University's mission.
