Hours: Monday - Thursday

Status: Full Time

Reports to: HR Lead/ Director of Operations


Purpose:

Under the direct supervision of the HR Lead, this position will perform administrative duties for HELP's Human Resources Department, to include filing, scanning, and uploading documents to HRIS systems and related databases. Will assist the HR Specialist with recruiting efforts, job fairs, and special projects, as well as other assigned duties.



Duties, Functions, and Responsibilities:

  1. Scan all personnel and HR documents into HRIS systems. File necessary hard copies into files.
  2. Maintain personnel files, HR records and other administrative records that are housed within the Human Resources Department, adhering to strict confidentiality at all times.
  3. Ensure all submitted forms are recorded in the HRIS systems and filed properly.
  4. Will complete employment and reference checks for all applicants selected for hire by department managers.
  5. Will email reference results to HR, Director and senior staff member, to update progress regularly.
  6. Will assist with regular safety trainings and videos.
  7. Will maintain HELP's monthly driver training quizzes, emailing to staff each month, and recording results. Will also provide follow up for non-compliance.
  8. Will maintain all employees' requirements to operate a company vehicle.
  9. Will record all quarterly DMV reports submitted by staff, and will maintain a list of authorized drivers.
  10. Will maintain the Motor Vehicle report Log, both physical and with within the MVR system.
  11. Will assist with the onboarding process for new hires
  12. Will assist with job fairs, benefits fairs, and other HR events.
  13. Will assist with community outreach events, making copies, printing fliers, etc.
  14. Will perform administrative duties for the Weatherization department, on an as needed basis.
  15. Will create and distribute monthly parent newsletter to those signed up for the group.
  16. Will serve on the Sunshine and Wellness Committees, assisting in the planning of staff luncheons, events and employee engagement efforts.
  17. Send documents requests to employees, assist with third party employment income verifications.
  18. Will help facilitate Zoom meetings for HR and administration staff.
  19. Participate in trainings and webinars, to increase HR knowledge and skills.
  20. Familiarize with rules, regulations and laws that affect the HR industry, employers and workers.
  21. Other duties, as may be assigned.

Knowledge, Skills and Abilities:


  1. Must possess good interpersonal and customer service skills.
  2. Must possess exceptional grammar and spelling skills, as filing is an essential daily function of this position.
  3. Must have the ability to effectively communicate with employees, vendors, and outside contacts on a regular basis.
  4. Maintain highest degree of confidentiality, at all times, and to the fullest extent allowable by law.
  5. Must have the ability to work with little to no supervision, and to complete projects in a timely manner.
  6. Provide input on process improvement, and initiate HR projects that will help improve the overall function of the HR department.
  7. Must have the ability to complete repetitive work on a consistent basis.
  8. Data entry skills, to include ten key by-touch
  9. Intermediate level Microsoft Office software experience, to include Word, Excel, Power Point and Access.
  10. Ability to initiate and respond to routine correspondence and requests.
  11. Possess good time management skills.



Qualifications, Education and/or Equivalent Experience:

  1. High School Diploma or GED; college studies in Business Administration preferred.
  2. Must have extensive experience working with Microsoft Word, Excel and Outlook.
  3. Excellent organizational skills, including the ability to manage and prioritize various projects.
  4. Must be detail oriented, proactive and team oriented, with an interest in non-profit work.
  5. Must pass a background check and pre-employment drug screening. Random drug screening is performed.
  6. Must have a valid NV driver's license and a clean DMV record. Driver History Reports are required to be submitted on a quarterly basis.



Working Conditions:

Work is performed in an office environment, with driving required at times. Will be subject to sitting, standing, walking, bending, squatting, lifting, pushing and pulling, and simple grasping.
