Summary

This position provides administrative assistance for the Flexground office located in Tempe, AZ. Flexground has two additional locations, in California and Nevada, that may require administrative assistance occasionally. The main purpose of the position is to support the team’s day-to-day needs in a professional and efficient manner as well as providing excellent customer service in person, via email, and over the phone. Part-Time Hours Monday- Friday 9 am - 3:30 pm

Essential Duties and Responsibilities

1. Greet and welcome guests that come to the office premises in a friendly & professional manner.

2. Ensure the reception area is tidy and presentable, with all necessary stationery and materials.

3. Answers phones. Takes messages or fields/answers all routine and non-routine questions.

4. Prepare packages and labeling for shipping, and receive incoming shipments, UPS, and Fed Ex packages.

5. Perform other clerical receptionist duties such as filing, photocopying, etc.

6. Performing ad-hoc administrative duties.

7. Provide excellent customer service.

8. Mails AP checks and files invoices in a timely and consistent manner.

9. Mail distribution to all departments. Trusted with sensitive and/or confidential correspondence and date stamp, scanned documents received, and forwarded to the Accounting and Contract Department accordingly.

10. Manages travel arrangements for crews and applicable office staff.

11. Assist corporate marketing with special mailings, trade show coordination, etc.

12. Assists with the coordination of events such as large and small meetings, birthday lunches, and holiday festivities.

13. Ensures that the office, break room, and lavatories are fully stocked.

14. Works with the accounting department on maintaining office supplies and other accounting backup duties.

15. Works on special projects as assigned by the management team.

16. Other duties may be assigned by the management team.

Education and/or Experience

  • High School Diploma / GED
  • 1-2+ years of experience
  • Previous experience in the playground/recreation industry is a plus

Travel

None required for this position.

Language Skills

Ability to read and interpret documents such as SOPs and contracts/POs. Must have the ability to write routine reports and correspondence as well as be able to speak effectively before groups of customers or employees of the organization.

Reasoning Ability

Must have the ability to define problems, collect data, establish facts, and draw valid conclusions.

Computer Skills

Demonstrated proficiency with MS Excel Basics, Word, Outlook, Teams, PPT.

Other Requirements

  • Experience with video conferencing tools, such as Microsoft Teams
  • Bilingual is a plus (English/Spanish)

This job operates in an office environment. This role is mainly sedentary and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

The noise level in the work environment is usually quiet, except in the warehouse/construction environment where PPE may be required.
