Admin Assoc - Triage Specialist - CAPS

Essential Functions
Provides initial personal contact with all students coming to CAP's. Uses UNO Gatekeeper training to effectively communicate with individuals who may be in crisis until appropriate professionals intervene. Provides initial triage assessment in person and by phone to facilitate prioritizing the order clients/patients are seen by counseling. Uses suicide intervention training to identify students currently at risk for suicide and acting immediately to secure intervention when a student is deemed high risk. Schedules appointments with the appropriate provider in an appropriate time frame if initial contact does not determine emergency. Maintains strict HIPAA level confidential communication in all aspects of the work. Acts as primary technical support liaison for electronic systems that support CAP's including: Titanium Schedule, ProtoCall (after-hours emergency services) People Soft, Concur, SAP, Facility Requests, CISCO Phone Manager, and NU Foundation systems. Additionally, this position serves as the technical support for other users as well as helping with data collection and drafting utilization reports from the electronic data bases. Must be accurate in data entry and money management. Provides general administrative support related to typing confidential correspondence, preparing forms and other materials from verbal/written instructions. Maintains calendar of schedules and appointments for staff of eleven professional counselors while supervising student worker duties. Orders and purchases supplies, journal subscriptions, professional organization memberships, promotional supplies and other items as needed.

M-F, 8am - 5pm
Additional Duties
  • Serves as the initial point of contact for campus and community stakeholders seeking services from Counseling and Psychological Services. Position has contact in person, phone and/or electronically with individuals presenting across a full spectrum of psychological presentations.
  • Provides primary telephone triage for Counseling and Psychological Services.
  • Electronically schedules appointments utilizing Titanium (an electronic scheduling system) as well as Microsoft Outlook -securing the appointment information needed to get the patient/client scheduled with the appropriate level of care in a timely manner.
  • Monitors and maintains lobby decorum by observing the waiting room and triaging emergencies to the correct provider and level of care.
  • Creates and maintains EHS web portal including creating and updating data forms, uploading secure client records, and managing the appointment reminder system.
  • Provides administrative duties for Collegiate Recovery Community and Alcohol and Drug Education.
  • Collaborates with neighboring body, Nebraska Medicine staff and physicians regarding continuity of care.
  • Manages onboarding processes of new hires and CAP's interns. Schedules interviews, distributes and obtains appropriate forms, requests building and security access, trains on systems such as Titanium.
  • Assists professional staff with Electronic data collection from ProtoCall, PeopleSoft, and Titanium Schedule, and Zoom/telehealth.
  • Drafts utilization reports in a timely manner including monthly utilization of individual categories of services -
    •serves as the backup support for timely entry in SAP
    •maintain & order office supplies, generate bills
  • Provide professional correspondence with outside MD's, community counselors, insurance companies-requires excellent technical writing skills.

Required Qualifications
Associates degree.
Four years of general office experience.
Must have the ability to use independent judgement to secure appropriate level of help for clients and patients.
Preferred Qualifications
Prefer experience handling confidential and sensitive information.
Prefer experience with electronic medical record systems.
