Hollins University in Roanoke, Virginia seeks applications for an Accounts Payable Manager.
About the Role
Reporting to the Assistant Controller, this position manages all aspects of expenses for the university and related reporting, handles Accounts Payable processing including credit cards, and maintains fixed asset records and depreciation schedules.
Specific duties include the following:
- Administers the Accounts Payable process including check requests, employee reimbursements, and university credit cards.
- Verifies accuracy and proper approval of all university payments to ensure expenses are in accordance with university policies and procedures and follows up with university budget managers as appropriate.
- Processes weekly Accounts Payable payments (checks, wires, bank drafts, and any other manual or electronic means).
- Provides training to budget managers and departmental assistants on the Accounts Payable policies and procedures, and systems.
- Maintains university fixed assets in fixed asset accounting software and calculates depreciation schedules.
- Processes 1099s on an annual basis.
- Performs monthly advance payments reconciliation.
- Maintains up-to-date vendor information (e.g., addresses, contacts, W-9 forms, etc.).
- Completes credit applications, tax-exempt certificates, and W-9s as needed.
- Prepares departmental journal entries.
- Identifies Accounts Payable payments to international students.
- Maintains Accounts Payable procedures manual.
- Responsible for proper internal control maintenance and provides recommendations to management for improvements and changes to policies and procedures.
Position Qualifications
Successful applicants must have the following qualifications and experience:
- High school diploma or equivalent
- Minimum of two years of experience in Accounts Payable or general bookkeeping/accounting assistant responsibilities
- Microsoft Office suite proficiencies, specifically Outlook, Excel, and Word
- Proficiencies with data entry, computer operations, and working with automated payables processing systems
- Strong customer service and oral and written communication skills
- Strong organizational, detail, accuracy, and multitasking skills
- Ability to be discreet and confidential
- Abilities to take initiative and resolve problems
- Abilities to work independently and in a team environment
- Ability to work in a highly interruptive environment
- Ability to work effectively with all university constituents and the external business community
Preferred candidates will have the following:
- College degree
- Ellucian Banner experience
- Fixed asset software experience for tracking fixed assets
- Online expense reporting system experience
- Experience processing Form 1099-MISC
