SUMMARY
The Account Services Specialist I is responsible for providing various transfer agency functions and maintaining accurate records for mutual fund clients. This position will require limited direct interaction with clients and extensive interaction with team members.
KEY ACCOUNTABILITIES
NEW ACCOUNT SETUP
  • Establishes new accounts by entering all customer information from new account application.
  • Contacts broker dealer representative or client to obtain missing new account information and seeks clarification as needed.
  • Initiates incoming transfers by sending paperwork to the delivering custodian.
  • Monitors transfer progress and status; follows-up as needed until completion.
  • Links corresponding accounts for rights of accumulation or plan accounts.
  • Processes letters of intent.
  • Utilizes quality control processes.

ACCOUNT SERVICES
  • Processes basic financial transactions (redemptions, purchases, exchanges, TIKs, and account rebalances.)
  • Processes retirement plan account transactions according to IRS regulations.
  • Processes shareholder account maintenance.
  • Maintains and updates all aspects of account registration including beneficiaries, automatic investment plans, systematic withdrawal plans, asset allocation, and dividend reinvestment or distribution.
  • Learns and indexes workflows.
  • Coordinates opening, logging, and scanning of account-related paperwork, including returned mail.
  • Maintains in-house and offsite records retention files for entire transfer agency.
  • Prepares legal correspondence (return of rejected documents, communicates instructions, etc.) using proper grammar and content.

COMPLIANCE ACTIVITIES
  • Reviews new account paperwork to ensure account meets compliance requirements including operational standards, SEC, IRS, and prospectus guidelines.
  • Utilizes Ultimus compliance procedures, desk policies, and legal requirements.
  • Utilizes Ultimus fund knowledge base and the transfer agent recordkeeping and workflow system.

WORKING RELATIONSHIPS
  • Contact as needed with clients regarding general information, resolution of issues, inquiries, or reporting requirements.
  • Daily contact with members of team and related departments regarding follow-up on inquiries, open workflow, etc.

May perform other duties as requested and assigned.
KNOWLEDGE, SKILLS, AND ABILITIES (KSA's)
KNOWLEDGE
  • Retirement plans and mutual fund IRS regulations.
  • Microsoft Office.
  • Adobe Acrobat.

EDUCATION AND EXPERIENCE
  • Bachelor's degree in business administration or related field.
  • 1-3 years' experience in client services or related field.
  • Experience within the financial services industry.
  • Series 6 license preferred.

Equivalent education, experience, and KSA's will be considered.
