About the Opportunity
Kalamazoo Valley is seeking a full-time Academic Records Managerto manage the transfer credit evaluation process, and the initial and final graduation process and to ensure timely completion of these consistent with articulated standards. This position works as part of the team in the Admissions, Registration and Records department of the college.

Responsibilities of this position include the following:
The Academic Records Manager evaluates academic transcripts, military records, and documents of prior learning experience. An additional primary responsibility of this position is to support the instructional mission of the institution and to promote positive student and customer relations.
Other primary duties include:
  • Administer the graduation/degree audit process for all students including pre-audits and final audits.
  • Submit diploma orders and maintain historical college records on program completion.
  • Prepare and disseminate list of potential graduates to the board of trustees.
    Evaluate college transfer, advance placement, CLEP, DSST, IBO, Michigan Youth Challenge, Academic Prior Learning, high school articulation, academy and military credit.
  • Build relationships with other institutions and obtain their course catalogs to maintain current catalog information including course descriptions and equivalencies for proper transcript evaluation.
Other ongoing departmental projects and duties may include, but are not limited to:
  • Maintaining records and equivalencies for the Michigan Transfer Network.
  • Creating, documenting, and updating military equivalencies.
  • Collaborating with all Career Academies to articulate course credit after successful completion of program and posting to student records, producing college reports, updating graduation and commencement information on website.
  • Collaborating with faculty to ensure that proper articulation is met for transfer credits as well as with Academic Counseling to ensure that students are accurately completing required coursework.
  • Plan, coordinate, and oversee the student side of the commencement ceremony.
  • Plan, develop, and implement new strategies in accordance with college policies and priorities.

Minimum Qualifications:
Appropriate education, training, experience and talents are required. An example of this would be an Associate degree in Office Administration, Accounting or a related field and 3 years experience in office management including a high skill level with Microsoft Office and other software systems.

Preferred Qualifications and Experience:
At least 1 year of supervisory experience preferred.

Work Hours:
40 hours per week, Monday - Friday; 8:00 a.m. - 5:00 p.m.
