Job description

Eastern Nazarene College, a fully accredited Christian liberal arts college on Boston’s south shore, is seeking an Academic Records Assistant to serve as the front-line contact for all inquiries and requests for the Registrar’s Office and have primary responsibility for student file maintenance. Must possess a strong Christian commitment and embrace and embody the mission of ENC.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintain the accuracy, integrity and security of all student Academic Records
  • Serve as initial contact for all academic questions received through window walk-up service, telephone, email, fax and mail service. Respond to general academic questions and/or forward to appropriate member of the Registrar’s Office staff.
  • Maintain graduate and undergraduate registration records.
  • Assure timely response to all enrollment verifications and insurance verifications.
  • Create, revise and maintain all Registrar’s Office forms.
  • Manage inventory of office supplies and oversee maintenance office equipment.
  • Schedule classroom reservation requests for supplemental instruction, conference services, faculty or student meetings, and special events.
  • Process name and address changes in student information system.
  • Work closely with members of Admissions staff on transfer evaluations.
  • Evaluate and process transfer credit for incoming transfer students with freshman admit status.
  • Process Dean’s List and Honor Roll notifications after close of each semester/period.
  • Work with Honors Administrator to provide information and update student records as needed.
  • Process traditional undergraduate college withdrawals as necessary.
  • Assist Registrar team with Commencement planning and tasks.
  • Train and oversee student workers.
  • Perform other duties as assigned.

QUALIFICATIONS

  • A Bachelors Degree is required. At least one year full-time work experience required, preferably in Academic Records or a related area.
  • Ability to maintain confidential information and files.
  • Computer competency in Word and Excel.
  • Ability to work independently as well as the ability to work with others and foster teamwork.
  • Excellent communication skills, both oral and written.
  • Strong organizational skills.
  • Willingness to learn College specific computer programs.
  • Ability to write reports, business correspondence, and procedures.
  • Ability to effectively present information and respond to questions from administrators, faculty, staff, students and the general public.
  • High Commitment to the College, including the ability to be calm under pressure, self motivate, be able to multi task, meet deadlines, and relate to a variety of personalities under diverse circumstances.
  • Ability to work with students in a pleasant, friendly yet authoritative manner.
  • Ability to work for and with supervisor, colleagues and general public in a pleasant, friendly manner.
  • Ability to work in agreement with ENC’s and the Registrar’s Office mission, lifestyle standards and office environment.
