Academic Program Specialist
Institutional Effectiveness - Office of the Provost
This position provides essential administrative and compliance services for the university's colleges and departments in the following areas: (1) management of UTK's Academic Program inventory through the creation of new degrees, majors, concentrations, and certificates; (2) coordination of Academic Program reviews and mid-cycle reviews; and (3) management and assessment of the “Volunteer Core” general education program
Qualifications
Responsibilities:
- Manage the intake process for all proposed changes to the institution’s Academic Program inventory to include creating and maintaining online progress trackers, identifying responsible parties for each step in the process, communication with parties at each step in the process to ensure that deadlines are met; reporting potential missed deadlines for follow-up, supporting academic units in the development of reports required by THEC for any change to Academic Program inventory, providing units with templates and exemplars of reports; analyzing draft reports to ensure compliance with THEC requirements, providing academic units with feedback so reports conform to THEC requirements, and participating in biweekly meetings with UT System representatives to facilitate the approval program changes and of proposed Academic Programs.
- Work with the Director of Academic Assessment to maintain and monitor the 5-year calendar of Academic Program reviews and mid-cycle reviews. Provide assistance to departments and colleges participating in Academic Program reviews to include assisting units with the selection of internal and external reviewers, collecting biographical information from external reviewers, making travel arrangements, maintaining a roster of all reviewers engaged during each 5-year cycle, providing internal and external reviewers with information and guidelines regarding responsibilities and expected outcomes for each review; preparing meeting agendas for each program review; coordinating data reporting from various offices for each unit undergoing program review, archiving all documents associated with program reviews for inspection by THEC, and scheduling and coordinating follow-up meetings with academic unit leaders and college deans to analyze review teams’ recommendations for action.
- Assist the Undergraduate Council's Volunteer Core (General Education) committee and its subcommittees in both the course approval process and the assessment of Volunteer Core courses to include developing and maintaining SharePoint databases that track where each course proposal is in the approval process, preparing monthly reports for the Volunteer Core committee indicating which proposals are ready for committee approval and which proposals are awaiting action by a subcommittee, developing and maintaining the 3-year Volunteer Core assessment calendar indicating when any given Volunteer Core course must be assessed, preparing reports each semester indicating which Volunteer Core courses must be assessed in the following semester, and maintaining the university’s archive of Volunteer Core assessment reports in a format that can easily be inspected by SACSCOC on-site reviewers.
Required:
- Three years of experience working in an office environment and/or at an institution of higher education
- Demonstrated excellent email, oral, and written communication skills
- Demonstrated excellent customer relations skills
- Demonstrated ability to collaborate effectively with administrators, staff members, and faculty across the institution
- Demonstrated ability to manage effectively multiple document-heavy projects while paying close attention to detail and meeting deadlines
Preferred:
- Three years of experience working at an institution of higher education
Education/Experience:
- Bachelor’s degree required.
