As an Operations Coordinator, you'll work closely with families and employees to coordinate care of the patient as well as communicate with the team.

We are looking to hire another clinical support assistant for a fast-growing Applied Behavioral Analysis (ABA) company! The Operations Coordinator is an integral position in the quality of care we provide to families.

  • Administrative Responsibilities
  • Maintaining the weekly schedule for all technicians and clients.
  • Finding coverage for clients when staff have time off or callout.
  • Confirming appointments, staff, and client availability.
  • Sending out reminders of schedule changes.
  • Tracking staff and client attendance.
  • Answering scheduling queries via phone or email in a timely manner.
  • Documenting scheduling processes.
  • Other projects and tasks as assigned by Director of Operations and Quality Assurance Lead.
  • Clinical Responsibilities
  • Communicate with BCBAs and/or families on staff/client changes.
  • Discuss the clinically appropriate number of scheduled hours with BCBA’s.
  • Ensure clients are meeting their recommended treatment hours consistently.

Requirements:

  • RBT certification required.
  • 2 years’ experience working in ABA required.
  • Previous experience in a medical administrative support role or similar position preferred.
  • Proficient in using phone systems and office equipment.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both verbal and written.
  • Familiarity with electronic medical record systems Central Reach is preferred.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.
  • Detail-oriented with a high level of accuracy in data entry and record keeping.
