JOB PURPOSE:

Within the framework and objectives and policies established by the Campus Administrator and the Office Manager, Act as receptionist and telephone attendant relaying incoming and interoffice telephone calls. Greet visitors, ascertain their needs and direct them accordingly. Monitors resident check-in, fire and door alarms and do the resident daily check-ins. Perform clerical functions to include collecting fees, maintaining schedules and records and distribute mail.

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Greet all visitors courteously, determine their needs and direct accordingly.
  • Acts as Service manager when Campus Administrator/Directors and/or Supervisors are not in the building.
  • Maintain documentation for residents who are leaving/returning, visitors, and sign-in/out of keys, etc.
  • Attend and participate in departmental meetings, in-services, training, and community events as required
  • Assist with clerical needs of facility including calendars, menus, newsletters, flyers, etc.
  • Complete morning check-in and monitor all call lights; Advise Health Staff and document.
  • Operate telephone, paging and walkie-talkie communication systems.
  • Process all incoming and out going mail.
  • Collect fees; maintain records pertaining to trips, meals, stamps and billings.
  • Monitor all electronic systems, and respond to all emergency situations as appropriate.
  • Assure security of residents, guests and staff by performing routine security checks and rounds of buildings.
  • Process all maintenance requests.
  • Take inquiry calls, respond, and schedule tours and record information of perspective residents and/or families when the Director or Assistant Director of Community Services is not available.
  • Acknowledge, comprehend and support the residents and the Resident Bill of Rights.
  • Maintain confidentiality of both residents and staff.
  • Comply with all required local, state and federal regulations
  • Attend and participate in committee meetings, trainings, in services, community events as required
  • All other duties as assigned

Additional Essential Duties and Responsibilities for Third Shift Welcome Desk Employees:

  • Assist residents in emergency situations in the capacity as a certified nursing assistant, and assist with routine health services as necessary.
  • Monitor all call lights; Advise Health Staff and document.

QUALIFICATIONS:

  • High school graduate or equivalent preferred.
  • Minimum of two years of clerical experience preferred.
  • Ability to read and understand, written or verbal labels and instructions in English.
  • Ability to work cooperatively as a support staff with all departments of the organization..
  • Availability to work nights, weekends and holidays.
  • Comfortable performing tasks, jobs, and/or projects in conjunction with day-to-day activities.
  • Computer literate with accurate data entry skills, and familiar with Microsoft Word and Excel.
  • Effective communication and interpersonal skills with the ability to work harmoniously with supervisors, peers, and subordinates.
  • High energy level, well organized, and the ability to perform short-cycle, repetitive tasks.
  • Maintain professionalism in all communication and actions.
  • May be called in to work another shift to perform tasks as needed
  • Must pass required pre-employment tests and screenings.
  • Prior experience working with the geriatric population preferred.
  • Strong interpersonal skills, tactful, mature, flexible, and possess the ability to get along with
  • diverse personalities.
  • Strong organizational skills with the ability to multitask.
  • Strong interpersonal skills, and the ability to work unsupervised and/or harmoniously with all levels of the organization.

PHYSICAL AND MENTAL DEMANDS:

  • Able to concentrate on fine detail with constant interruption, and attend to task/detail for more than 50 minutes at a time.
  • Able to perform difficult manipulative skills such as calibration of equipment.
  • Able to remember multiple tasks/assignments over long periods of time and take notes as required.
  • Able to speak clearly. Verbal ability necessary to orient service options to residents, and/or family members with varying levels of comprehension.
  • Adequate vision and hearing with ability to distinguish sounds such as voice patterns, auscultation, tape recordings, etc.
  • Able to walk and stand for prolonged periods of time and are able to reach, twist, sit, push, pull, squat, climb stairs, reach above shoulders, and bend at the knees.
  • Creative communicator, well organized, and resourceful.
  • Good reasoning and sound judgement.
  • Must be able to lift 50 pounds.
  • Manual dexterity and motor coordination are required in the operation of office machines and equipment.
  • Must have genuine interest in the needs of the elderly population, understanding the problems they encounter and have patience and tact in serving their needs.
  • Work is usually light and sedentary.
