We are currently seeking a dedicated Welcome Center Staff member to help us maintain a welcoming environment and ensure efficient administrative operations.
Position Overview:
Under the direction of the Campus Administrator and Resident Services Coordinator, you will serve as the first point of contact for visitors and residents, handle incoming calls, and perform various administrative tasks to support the smooth functioning of our facility. This role requires exceptional interpersonal skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Greet visitors courteously, ascertain their needs, and direct them accordingly
- Act as Service Manager in the absence of Campus Administrator/Directors or Supervisors
- Maintain documentation for resident check-in/check-out, visitors, and key sign-in/out
- Assist with clerical tasks including maintaining calendars, menus, newsletters, and flyers
- Monitor resident check-in and respond to call lights; advise health staff and document as necessary
- Operate telephone, paging, and communication systems effectively
- Process incoming and outgoing mail and maintain records related to fees, trips, meals, and billings
- Monitor electronic systems and respond to emergency situations appropriately
- Ensure security of residents, guests, and staff through routine security checks and rounds
- Process maintenance requests and inquiries from prospective residents and families
- Maintain confidentiality of residents and staff and comply with all regulatory requirements
Qualifications:
- High school graduate or equivalent preferred
- Minimum of two years of clerical experience preferred
- Ability to read and understand written or verbal instructions in English
- Effective communication and interpersonal skills; ability to work harmoniously with all departments
- Availability to work 2:30pm-10:30 pm, and every other weekend as needed.
- Prior experience working with the geriatric population preferred
Physical and Mental Demands:
- Able to concentrate on fine detail with constant interruptions
- Able to perform manipulative skills such as equipment calibration
- Able to remember multiple tasks/assignments over long periods and take notes as required
- Adequate vision and hearing with the ability to distinguish sounds and communicate clearly
- Able to walk, stand, reach, twist, push, pull, squat, climb stairs, and lift up to 50 pounds
- Manual dexterity and motor coordination required for operating office machines and equipment
- Genuine interest in the needs of the elderly population and patience in serving their needs
