About the Program and Position:
Our Transitional Foster Care Program for Unaccompanied Children (UC) overseen by the Office of Refugee Resettlement (ORR), ensures the well-being and safety of unaccompanied children (ages 0-17) who cross the US Southern border without an adult. Unlike traditional congregate care settings, our approach involves placing unaccompanied children in foster homes while diligently searching for and assessing potential sponsors identified in the US. During their stay with us, we provide medical care, case management, engaging life skills classes, and essential mental health services.
And the role the UC Portal Auditor would play is to ensure that we are in compliance with all aspects of the UC Program requirements. The UC Portal auditor will ensure that the portal, stride, and files are in compliance with ORR and the New York Office of Children and Family Services (OCFS). They will create, train staff in, and maintain systems to ensure all records meet ORR and NYS regulations.

To provide oversight and function as Portal Auditory ensuring that each and every portal file is accurate, up-to-date, and audit-ready at all times.
To create, train staff in, and maintain systems to ensure all records meet ORR and NYS regulations.
To establish effective practices for individual Medical Providers and Medical Coordinators to ensure the constant availability of their medical records.
To oversee and regularly audit these files and provide feedback on the standing of each of their files.
To help supervisors set up checklists to review their staff's work to ensure it meets regulations.
Communicate and work closely with the training department to audit the medical tab of the UC portal
To regularly audit each supervisor's auditing of their staff's work.
To give the Federal Programs Deputy and Executive Vice President of UC TFC weekly key performance indicator (KPI) reports on the audit-readiness of Medical Providers and Medical Coordinators
To coordinate with the Continuous Quality Improvement (CQI) team to have the audit-ready status of UC Portal files validated
To maintain comprehensive and up-to-date UC Portal files for all departments
To supervise and oversee management and maintenance of the file room and/or electronic record for medical packets for minors
Project a professional, friendly, and helpful presence
Provide excellent customer service to all staff and departments
Analyze the audit data and report back to the Medical Department with audit findings
Set and track time-specific and realistic goals for the quality and compliance of UC portal files
Keep staff up-to-date on any and all changes to file maintenance within the department
Keep up to date with Council on Accreditation (COA) standards
Some travel required
Implement procedures in accordance with new ORR Field Guidance, OCFS, or policies
Identify trends of concerns and facilitate solution-based meetings with department staff and management
Responsible for maintaining the privacy and confidentiality of Protected Health Information of service recipients in any form (e.g., computer access, conversation, document) during and surviving the termination, expiration or cancellation of employment/association with Cayuga Centers
Perform other duties as requested by your immediate supervisor or the Chief Executive Officer
Responds in a positive and respectful manner to diversity among the agency's service population and staff
Responsible for complying with rules and regulations governing access to Protected Health Information under HIPAA. Access to Protected Health Information is limited to the extent required to perform responsibilities effectively and efficiently. No access will be permitted unnecessarily. The essential job functions as described herein, dictate the level of access, use, and disclosure of confidential information
Provide support to the Medical Vice President, Medical Director, and Supervisors with administrative tasks; as needed
Other tasks as needed
Schedule: Exempt
Regular hours entail Monday-Friday, 9 am-5 pm, must be flexible to meet program needs
Must be available to work afternoons, evenings, holidays, and weekends as required
Remote once a week

Bachelor's Degree with 2 years of UC experience preferred
Experience working in the healthcare transcription- strongly preferred
Supervisory experience preferred
Continuous Quality Improvement, record review, or compliance experience preferred
Excellent attention to detail
Strong communication and organizational skills required
Strong skills in Microsoft Office required (Excel and Word) and Google Workspace with the ability to proofread and edit
Bilingual - English / Spanish required. All agency documents and records are in English, so English writing proficiency is required. The position itself requires Spanish speaking, writing, and reading proficiency.
Ability to handle confidential material in a responsible manner
Ability to work effectively in a team context
Detail-oriented, clerical aptitude
Ability to manage time effectively and multi-task with the ability to stay highly organized
NYS Driver's License required
Demonstrated ability to perform duties with minimal supervision and to exercise greater judgment
Physical Requirements:
Computer work requires sitting at a desk for long periods of time
Time on your feet for up to several hours a day
Lifting up to 50 pounds
Time driving and/or taking public transportation to conduct client and family visits
