Job Description
JOB SUMMARY:
The Staff Accountant is responsible to maintain and support operational accounting functions (Accounts Payable, Accounts Receivable, Payroll), general ledger entries, reconciliation, reporting, and audit preparation at the direction of the Chief Financial Officer (CFO).
The Staff Accountant will maintain confidentiality of information and uphold New Life Center's mission, vision, and core values of compassion, resilience, equity, and community.
ROLES AND RESPONSIBILITIES:
General Accounting
- Maintain and report primary fiscal accounting of all agency accounting records for review by CFO and approval by Chief Executive Officer (CEO).
- Prepare and maintain all accounting journals and update general ledger as appropriate.
- Prepare all monthly bank reconciliations and submit for review by CFO and approval by CEO.
Accounts Payable and Receivable
- Review and approve Accounts Payable invoices and ensure accurate coding and timely payment.
- Manage recurring accounts payables.
- Review and approve accounts receivable/pledges receivable to ensure accuracy and timeliness.
- Prepare monthly grant reimbursement and service contract billings in accordance with state and federal requirements.
- Review receipts from agency's fundraising activities including, but not limited to, events, donations and grants.
- Review bank deposits.
- Prepare periodic inventory control reports.
Grants and Contracts
- Prepare financial reports for service contractors and funding sources for review by CFO.
- Prepare monthly claims for all service contracts for review by CFO.
- Ensure financial compliance with rules and regulations related to contracts and funding sources.
- Prepare applicable data and work with agency representatives during audits as necessary.
Payroll
- Review and reconcile payroll general ledger accounts and reporting.
- Review payroll related transactions with benefit vendors (410k, health insurance, etc.)
- Assist CFO to manage judgments, garnishments, and employee payroll deductions.
- Maintain payroll records and database.
- Support time and effort reporting and coordinate bi-weekly submission of grant-funded employee time and effort reports.
Credit Cards
- Review credit card expense documentation for accuracy and compliance with organizational finance policies.
Reporting and Audit
- Maintain internal controls in compliance with agency policies and procedures, federal and state regulations, and Generally Accepted Accounting Principles.
- Prepare periodic and ad hoc financial reports for board of directors, agency management and federal, state, and private funding sources.
- Manage preparation for monitoring visits from government grantors and agencies, as well as external independent audit firm.
QUALIFICATIONS
REQUIRED
- Bachelor's degree in Accounting, Finance or related field and 5 years' experience in accounting; other combinations of education and experience will be considered.
- Valid Arizona driver's license and vehicle insurance.
- Currently possess, or ability to successfully obtain Level 1 Fingerprint Clearance**
- CPR/1st Aid Certified. **
- COVID-19 Vaccination or approved exemption.**
- Negative TB test required. **

PREFERRED
- Bachelor's degree in accounting, nonprofit management, public administration, or a related field or 5 or more years' experience in non-profit accounting.
- 1 or more years of experience working within a nonprofit victim service, domestic violence, sexual assault, and/or human trafficking agency.
- Experience with QuickBooks Desktop or Online.
