JOB PURPOSE
Assists in the development of long and short term recognition programs and event support for Leadership, Career Conference, and Seminar, including recommending program rule structures, content and creative approach to ensure the successful implementation of programs. Administers various established programs from budgeting through implementation. Solely responsible for coordinating and monitoring all related program inventories, completing creative briefs and support materials for all applicable programs and following up on projects to ensure that creative elements are completed on schedule.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Designs and implements assigned defined recognition programs. Contributes to the implementation of long and short term strategies for programs and recognition events including program rule structure, content, creative approach and communication. Develops critical path timelines to support each program and coordinates and tracks adherence to program schedule. Consolidates and documents historical performance data, sales force needs and all other data required to establish plans. Provides analysis and recommends budget, initial orders and program support based on this data. Serves as the lead for inquiries and follow up regarding fine jewelry program and manages jewelry repair program.
• Coordinates the creative development of merchandise and awards to ensure proper specifications, merchandise requirements, timing and price points are available to select the types and categories of items to be included in particular programs. Ensures that all details required for purchase orders are correct and corresponding invoices reflect these details. Monitors sales or usage history for all merchandise where applicable and analyzes this history to best determine the items, price points and length of availability that best meet the needs of the sales force. Maintains the pricing, costs of goods and revenue information required to determine program budget status. Analyzes inventory reports and recommends ways to minimize excess inventory and to ensure cost effective programs.
• Directs the communication efforts of appropriate internal departments to ensure the successful implementation of recognition programs. Follows up on a regular basis with individuals to support routine program implementation activities such as:
oCreative Services to develop support collateral; IST to obtain historical data, determine forecasts and set programming parameters
oSouthwest Branch to maintain inventories, provide customer service and oversee distribution activities
oPublications to supply information required for communications to sales force regarding recognition programs. Is solely accountable for developing impromptu recognition reports.
• Assists in the annual preparation of the departmental budget by gathering information from previous year and providing year-end estimates of actual versus planned expenses to be analyzed for budget planning. Tracks and corrects incorrect charges for Sales Force Recognition cost centers. Participates in the development of budget reports and variance analyses for monthly and quarterly financial reviews. Requires a detailed knowledge of recognition programs to understand where charges should be recorded. Compiles program participation and merchandise usage reports for all applicable programs to assist in forecasting expenditures and monitoring budgets; tracks all related on-target individuals and compiles prize selection information where applicable. Tracks and records appropriate 1099 information. Ensures all merchandise is distributed to appropriate individuals in a timely manner; and maintains communications with the merchandise receipts to inform them of a delivery status.
• Coordinates the use of Travel Jewelry Sets (sample collections of available prize jewelry) taken to sales force events for display. Manages Travel Jewelry Set inventories, checking jewelry in and out to other departments and independent sales force members. Decides when and how to divide sets if necessary during busy event times (e.g., NSD retreat season). Locates and collects all jewelry pieces after events. Works with Protective Services and Risk Management to find missing jewelry. Requires a strong knowledge of how jewelry programs work and the ability to communicate the programs to those checking out the jewelry. Works with Risk Management and Protective Services to ensure the security of the Jewelry Collection valued at approximately $1.5 million.
• Interfaces with all levels of the independent sales force in order to understand specific needs, respond to issues, and determine effectiveness of ongoing and new programs and to receive input as to the level of satisfaction of all program elements. Integrates this knowledge into ongoing support of recognition programs.
• Procures all props, awards and giveaways, in quantities of less than 500, as needed for each assigned special event. Has authority to make purchase decision within assigned budget. Coordinates the merchandising of each prop, award or giveaway to ensure all items being awarded meet sales force expectations.
• Initiates creative briefs and purchase order requests required to secure program support materials, including applicable brochures, merchandise/awards, stage cards, name badge icons/ribbons, giveaway items, etc. Monitors development of all support elements and determines and presents final designs, layouts, photography and copy for approval.
• Represents Sales Force Recognition department in area of expertise at all special events, determining the support materials, merchandise and communications that are required for the sales force. Provides onsite support in other areas as needed. Serves as coordinator at Seminar and Leadership, leading a team of 8-10 volunteers and coordinating their activities.
• Responds to routine inquiries from independent sales force members and other departments. Offers direction and/or solutions to problems. Keeps up-to-date on Company programs and maintains knowledge of sales force, product, marketing efforts and developmental of phases in the international subsidiaries.
KNOWLEDGE, SKILLS AND ABILITIES
Education - Bachelor/University Degree in marketing or related field
Experience - 3+ years of experience in planning or project mgmt
• Ability to implement employee recognition programs and activities, develop and maintain budgets, properly code invoices, analyze expenditures and determine reasons for budget variances.
• Customer service and interpersonal skills required to interface and effectively communicate with individuals at all levels within the organization, including independent sales force members.
• Strong PC skills are required, including proficiency with Word, Excel, PowerPoint, Project and Outlook.
• Requires domestic travel approximately 30% of the time.
• Must be able to lift, stand, sit and/or walk for extended periods of time.
