Provides general clerical support within the Shipping & Receiving departments to help deliver both internal and external customer satisfaction. The incumbent will work on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted processes and practices. Normally follows well established procedures on routine work and requires instructions only on new assignments. Will interact with Customer Service Representatives to ensure customer satisfaction is achieved for both domestic and international shipments, when necessary.
Essential Job Duties and Responsibilities:
- Communicates with Operations/ Production and Customer Service Representatives to anticipate larger domestic and/or international shipments requiring extra-ordinary resources.
- Ensures export documentation is electronically stored for future reference for auditing purposes for the International Traffic & Compliance Manager.
- Traces orders per sales for cancellations, changes and special shipping instructions.
- Prints pro-forma invoices and waybills for domestic (inter-consignees) and international shipments
- Files Electronic Export Information (EEI) through the Automated Export System (AES) as needed.
- Maintains various records, reports, receipts and other important documents as required.
- Assists with bin location maintenance and cycle counts to ensure inventory accuracy.
- Schedules pick up times with freight forwarder companies, truck lines, to ensure that all customer requirements regarding shipping instructions are fulfilled for domestic and international shipments prior to freight leaving the dock.
- Communicates with Customer Service Representatives via phone, email or in person status of specific shipments
- Assist with order management and problem/reject racks.
- Reviews report of shipments that show "hold status" and obtains Shipping Manager signature at end of reporting periods to ensure accurate revenue reporting.
- Partners with third party vendors to research and resolve customer inquiries and issues
- Orders supplies needed for department.
Education, Skills, and Work Experience:
- High school diploma or equivalent is
- Experience with Microsoft Office required
- Minimum of three years in Manufacturing or Warehouse Environment required
- Previous experience preparing documentation for Export Shipments preferred
- Self starter with initiative and ability to work efficiently in a fast paced environment
- Good organizational skills
- Good written and verbal communication skills
