We are seeking a highly motivated and dependable on-call SeniorPublications Specialist with at least 5 years of relevant experience to support document production about 10 to20 hours per week, as needed.

Who You Are

 

You have five years of professional experience in Microsoft (MS) Word processing, document production, basic graphics, and PDF creation. You are an expert with MS Word and are familiar with MS templates. You are comfortable working in MS Excel and Adobe Acrobat. Familiarity with project management tools (e.g., Asana, Airtable) is a plus.

 

You are an effective team member and proactive communicator who can support multiple individuals, groups, and managers in a variety of production tasks. You can multi-task, continually prioritize, and show flexibility. You work well both independently and as part of a dynamic team.

 

You hold an associate or bachelor’s degree in communications, business, writing, or a related field. Previous experience in a consulting environment is a plus.

 

You have a strong customer service background and are a disciplined self-starter who will join a collaborative team of multi-disciplined professionals in a dynamic and fast-paced environment.

 

You can work in a hybrid (or remote) fashion from one of our West Coast offices.

 

What You Will Do for ESA

 

As a Senior Publications Specialist, you will provide document production support for variety of complex and lengthy technical documents including reports, technical memos, and contracts. This involves creating and assembling documents; editing; and inserting and formatting text, tables, spreadsheets, graphics, and other diverse content into master documents using MS Word and other software programs to create a superb deliverable.

 

You will oversee the production of high profile and large environmental documents. You will provide a wide range of solutions and format variations through a complete knowledge of all aspects of word processing capabilities. 

 

You will work with Project Managers to ensure that deliverable deadlines and document distribution are met, anticipating and troubleshooting scheduling conflicts across multiple groups. You will coordinate document distribution and mailings including working with other administrative staff and Project Managers. Distribution may be via print, digital, CD/DVD or HTML file output.

 

You will consistently demonstrate your solid writing and attentive listening skills, participating in meetings with ESA staff as needed. You will communicate with employees, clients, vendors, and other individuals on the phone and in-person to answer questions, disseminate or explain information or to support teams.

 

 You will self-manage your time to deliver project assignments under a defined project scope on time and within budget. You will thrive in a fast-paced, exciting, and challenging environment and be able to manage multiple responsibilities and deadlines, while working on a team or independently. 

 

ESA has established multiple pay ranges tailored to the economic factors in the geographies in which ESA staff reside. For this position the range of $33.54-$48.63/hr is based on our anticipated hiring location as noted in the above job details. Actual compensation is determined by a number of factors including, but not limited to, an individual’s related experience, education, skills, and the city in which the applicant lives.
