The Job
The Senior Executive Assistant, CEO (The SCAN Foundation) serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The Senior Executive Assistant monitors and administers the CEO’s activities ensuring that projects, requests, information and events are prioritized, organized, and communicated to maximize the CEO’s efficiency and effectiveness.
Reporting directly to the President and CEO, the Senior Executive Assistant to the President/CEO provides executive, administrative, and development support to the President, the Board of Directors, and the Executive Leadership Team (ELT).

You Will
Maintain the CEO’s calendar by coordinating and scheduling meetings and locations. Monitor current and future appointments for the purpose of confirming/rescheduling as necessary. Determine schedule priorities by rescheduling appointments to accommodate priority meetings and/or declining meeting requests. Perform “gatekeeper” role for access to CEO to ensure CEO’s schedule is followed and respected.
Identify, prioritize, and escalate issues as appropriate for consideration and review by the CEO. Organize and track various action items, following up as needed to ensure completion or appropriate updates.
Keep the CEO well informed of upcoming commitments and responsibilities and follow up to ensure that the CEO is briefed and prepared for meetings and events. Prepare supporting presentations, summaries, reports and other documents to ensure the CEO has pertinent and up-to-date information.
Communicate directly, and on behalf of the President and CEO and other members of senior management, with Board members, Providers, members, and others, on matters of importance to the organization. Facilitate communication between the office of the CEO and internal departments. Sponsor trust and support with the office of the CEO and senior management staff.
Organize and support meetings, including Board and Board Committee meetings, including the preparation and dissemination of agendas, meeting materials, and meeting minutes.
Prepare, review and/or edit the CEO’s presentations to the Board and/or Board Chairperson and, upon request, the Chairperson’s presentations to the Board.
Provide administrative support to CEO by composing clear, accurate and concise correspondence, reports and memoranda; coordinating travel arrangements; performing basic accounting tasks and preparing expense reports; screening, organizing, and routing mail and other communications; filing, maintaining and archiving documents; managing the budget for the Office of the CEO; and maintaining department supplies inventory.
Maintain discretion and confidentiality in discussions and relationships with all Board Directors and senior management, manage confidential information and protects the Company by keeping information confidential and secure.
Stay abreast of and ensure compliance to the applicable rules and regulations set forth in bylaws, charters or authority matrices regarding corporate matters, including internal governance controls and requisite approval for certain Company actions.
Lead training and supervising other office staff.
Other duties as assigned.
Your Qualifications
- Bachelor’s Degree or equivalent experience
- 5 plus years providing administrative support to C-suite executives and the Board of Directors of a medium-sized company.
- Experience in the Health Care industry is preferred.
- Strong interpersonal skills with the ability to build relationships with staff, senior management, board members, Providers and other external parties.
- Excellent written and oral communication skills with the ability to prepare clear and concise presentations, reports and documentation.
- Ability to multitask with excellent organizational skills to prioritize, monitor and follow up on multiple issues requiring the CEO’s attention.
- Ability to appropriately maintain confidentiality.
