Job description

Reporting to the Human Resources Manager, the Seasonal Receptionist is primarily responsible for greeting visitors and delivering exceptional customer service. This entails answering calls and fielding them, accordingly, addressing visitor questions and needs, performing administrative duties as needed and providing an overall welcoming environment.

Essential Functions:

Reception (100%):

  • Answer phones, greet customers, and assist or direct as needed to ensure customers are served in a friendly and prompt manner.
  • Maintain reception area and all common areas in a clean and tidy manner at all times.
  • Operate standard office equipment on a regular basis, including fax machine, copy machine, and computer.
  • Keep detailed and accurate records of visitor requests and of calls received.
  • Ensure sign-in and security procedures are followed.
  • Direct and communicate for incoming deliveries and pickups from vendors.
  • Receive all package deliveries; sort and distribute.
  • Notify recipients of package delivery and ensure timely pick up. Keep package delivery area organized and presentable.
  • Assist with mail processing such as sorting daily incoming mail and ensuring outgoing mail is taken out daily.
  • Provide administrative support on assigned tasks and projects.
  • Provide administrative support such as meal coordination, meeting room scheduling, meeting, and event support, oversee resource calendars, maintain essential data in our project database, process mail and overnight shipments.
  • Complete opening and closing office duties, such as sanitizing of surfaces, coffee station preparation, turning lights on/off, unlocking/locking of entrances, restock supplies and general housekeeping of the front office.

Qualifications:

  • Strong written, verbal, and interpersonal communication skills.
  • Excellent time management skills, attention to detail, multi- task with competing deadlines.
  • Strong writing, editing, and proofreading skills.
  • Bilingual in Spanish preferred.

Work Environment:

  • Work is normally performed in an interior/office work environment. Mon-Fri 7am-4pm
  • Ability to work independently and in a team environment.

Physical Demands:

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, or feel objects, tools, or controls; and talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; reach with hands and arms; and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move 30 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee will be regularly communicating through telephone, web, and in person, and must have the ability to perceive the nature of sounds at normal speaking levels with or without correction. The employee must be able to travel via airplane and vehicle on an occasional basis.

While performing the duties of this job, employee is regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve non-routine and complex office administrative problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under deadlines with frequent interruptions; and interact with managers, staff, customers, the public and others encountered in the course of work. Employee must be able to regularly translate or use an onsite translator or translating service.
