The Eaton County Sheriff's Office operates a records division in the Sheriff's main office in Charlotte, Michigan and also operates a division at the Delta Township Sheriff Substation. This position may be placed at either location dependent of the staffing of each area.

- Types all case reports and supplemental information. Responsible for distributing and securing signatures so that reports can be forwarded to the Prosecutor as soon as possible. Enters arrest information into the computer for Michigan Incident Crime Report. Reviews and codes all information for Michigan Incident Crime Reporting.
- Transcribes verbatim evidence such as taped confessions, statements and interviews for the Detectives. Types reports for Detectives involving all types of criminal activity.
- Responsible for case processing, which includes reviewing print-out of cases and ensuring typing, reviewing cases for pertinent information for processing and summarizing action to date on cases. Copies and distributes reports to necessary Departments for review. Enters and updates computer data for the Michigan Incident Crime Reporting System.
- Enters information from all cases into the computer for the Michigan Incident Crime Report. Enters stolen items into the computer including information on serial or model numbers, size, value and description.
- Responsible for logging in all traffic crash reports and replicating same for the State of Michigan and other agencies. Prepares file and ensures completeness of file.
- Enters information from all traffic crash reports into the computer including identification information on the drivers, passengers and witnesses, location, alcohol tests and vehicle information as well as other relevant information.
- Files traffic crash reports and cases in numerical sequence and files supplements, warrant requests, lab reports, dispositions, and other documents. Tracks, sorts and files tickets.
- Processes insurance requests received through the mail and ensures appropriate fees are included, logs, copies and posts information.
- Processes forms for gun State purchase permits and receipts purchase permit fees. Assists individuals with obtaining fingerprints and processing CCW permits. Utilizes automated pistol registration system and inspects all guns prior to registration.
- Provides counter and telephone assistance to attorneys, insurance representatives and the public. Prepares a statement of account for all reproductions.
- Locates and retrieves incident reports, crash reports and tickets for Deputies for court purposes.
- Enters data on breathalyzer test reports to Secretary of State for the Department and other local Departments to be added to driving record. Update test report when lab results are returned when originally reported as refusal to take test.
Other Functions
- Assists in compiling daily statistical reports on sworn law enforcement staff as well as the monthly statistical reports.
- Assists the Detective Bureau by entering pawn slips that are mailed to the Department.
- Assists in compiling the statistics and maintaining records of the traffic and accident logs.
- Assists in checking for errors in computer entry by running the error logs.
- In the absence of the supervisor, or to assist the supervisor, performs a number of additional functions such as: (a) recording all incoming case in an accounts payable ledger and balancing the till daily, (b) preparing applicants to appear before the Gun Board by reviewing applications for completion, and (c) assists in the training of new Records personnel.
- Maintains photo files for all case and traffic crash files.
- Processes incoming mail for distribution to all Departments and prepares outgoing mail for pick-up.
- May as the ECSO LEIN Tac. Ensures that the ECSO is complying with LEIN (Law Enforcement Information Network) requirements to include but not limited to verifying warrants with Eaton County Central Dispatch and the Eaton County Courts.
