Position Summary:

The Psychological Services Center (PSC) Operations Assistant and California Psychology Internship Consortium (CPIC) Administrative Coordinator, under the general direction of the Psychological Services Center (PSC) Director, provides PSC front end operations assistance at the direction of the PSC Director. The applicant must be able to perform a wide range of tasks front-end supportive services such as: checking clients in and out; exceptional professional social skills in communicating (in-person, telephonically and via email) with clients, practicum clinicians, doctoral interns, clinical supervisors and PSC/CPIC administration (PSC Director as well as CPIC Training Director and Associate Training Director). The applicant is responsible for managing schedules between practicum clinicians/doctoral interns and clients. The applicant must be able to efficiently multitask in a highly active environment; possess a high degree of proficiency in spreadsheets (Excel), Qualtrics, word processing and Zoom. The applicant should have excellent organizational, interpersonal, and communication skills to meet the needs of the PSC and CPIC position demands.

The PSC and the CPIC are located on the Alliant International University Fresno Campus. Starting Salary: $15.50 hourly

Minimum Qualifications:

Education: High school or equivalent with experience and/or training in front office work experience in a medical/mental health practice as well as proficient in record-keeping functions.

Experience:
• Two or more years of office work experience (ideal, medical/mental health clinic);
• Experience in monitoring and processing of paperwork and scheduling experience;
• Excellent organizational, interpersonal, communication and technical skills;
• Word-processing (60 words per minute) editing and formatting;
• Proficient in MS Office Suite applications; Qualtrics; EMR system(s) and,
• Experience with efficiently multitasking in a highly active environment.

• Excellent organizational, interpersonal, and communication (with a strong preference for a bilingual English/Spanish individual) to meet the needs of the PSC and associated clients; ability to effectively communicate and interact with people of all ages and diverse backgrounds;

Duties & Responsibilities:

  • Provide administrative support to the PSC Director, CPIC Training Director/Associate Training Director, staff, student clinicians/doctoral interns and clinical supervision team (licensed psychologists in California).
  • Collect payment for services, accurately depositing them into accounts in accordance with PSC and CPIC financial collection policies and Alliant System-wide Cash Management Procedures.
  • Assist in the development of monthly ledgers, budgets and financial reports as directed by the PSC Director, CSPP Associate Dean and CPIC Training Director/Associate Training Director.
  • Perform standard office support such as greeting clients; managing petty cash and bank deposits; screen and route incoming calls; faxing, scanning, emailing, copying, typing, filing, post charges and payments for clients; and, input new client information into the billing system and Electronic Medical Record (EMR) system (Practice Fusion).
  • Create and maintain PSC documents including selected forms, reports, proposals, and training materials. The applicant will be responsible for monitoring and ordering psychological testing supplies (upon final authorization and approval by the PSC Director prior to ordering).
  • Provide coordination to the CPIC under the direction of both the PSC Director and the CPIC Training and Associate Training Directors.
  • Manage all CPIC doctoral intern files inclusive of (but not limited to): triannual performance evaluations; triannual intern learning plans (ILPs); triannual intern self-assessments; CPIC intern application materials and match letters/contracts; and CPIC graduation certificates. These files will be maintained by paper as well as electronically in a secure server databases.
  • Ideal applicant will be proficient in the use of Qualtrics, excel, use of shared drives, Excel, Word and EMR systems.
  • Ability to exercise independent judgment based on detailed instructions.
  • Assist the PSC Director and CPIC Training and Associate Training Directors in identifying opportunities for service, training, and new business development.
  • Other duties as assigned.


Primary Work Location, Hours & Travel Requirements:

Office Location: Mostly working on campus.

Work Hours: Flexible hours, Part-Time.
