Responsibilities:

  • Preparation of general correspondence (letters, memoranda, meeting minutes, bid tabs, cost estimates, notes, agendas, etc.)
  • Supports engineering staff with contract document edits, project bidding process, grant applications
  • Process documents to ensure completeness and accuracy including proofing documents for content, correct grammar and punctuation
  • Prepares and organizes the reproduction of documents under instruction from staff, which may include researching and gathering information from various sources to prepare complex reports
  • Make redlined changes to specifications
  • Assist Engineers in creating addendums
  • Make edits to library, master Eng. Design Reports and Final Report Templates
  • Update all in house projects with FAA library changes
  • Submit for advertisement, DBE Public Notice, Invitation for Bids and Legal Notices or Notices of Contractors Settlement
  • Maintain Records, Electronic Filing system
  • Assists all staff in all other duties and tasks that are assigned
  • Provide support to the Project Manager in monitoring the financial performance of the project, which may include such areas as; budgeting, scheduling, month-end processing, project accounting, and reporting.
  • Coordinates tasks and provides professional administrative support to one or more project teams.
  • Performs project related functions within Deltek Vision including open new marketing and job numbers, enter project budgets, enter project change orders and close out projects.
  • Reviews project requirements, identifies interdependencies with internal or external departments or service providers, delegates responsibilities, and ensures that work is completed as needed.
  • Schedules cross-functional meetings to facilitate collaboration.
  • Review weekly timesheets for accurate project numbers and coordinate timesheet adjustments.
  • Review office project expense reports by ensuring accurate and timely reporting of direct and non- direct labor and expenses.
  • Assist in monitoring labor charges and expense detail and reporting job budgets and costs.
  • Ensure effective cash management (billings, collections, and accelerating cash flow) by working with clients established upfront processes on new contracts.
  • Conduct earnings review (and required analysis) on assigned projects to identify errors and trends.
  • Proficient knowledge of general office equipment, Microsoft Office Suite and Adobe Acrobat
  • Must be able to prioritize workload independently
  • Ability to use independent judgment to perform a wide variety of tasks in a professional manner

 

Qualifications:

  • Proficiency in Microsoft Office Suite, and Adobe Acrobat and/or Bluebeam
  • Knowledge and experience in Deltek Vision are preferred.

  • A creative mind with an ability to suggest improvements and efficiencies
  • Minimum High School Diploma / 2 years of college preferred or greater but would consider equivalent experience within the AEC Industry.

Work Environment
