Job description

The Project Coordinator for Facilities and Support Services provides administrative oversight of all projects and administrative functions of the Executive Director, Support Services Administration, Facilities, Security/Parking, Materials Management, EVS/Transport, Food Services and Environmental Health & Safety and various hospital-wide committees. This role is responsible for ensuring cost-effective departmental operations and communicates department priorities as necessary throughout the hospital. 

  • Creates and updates processes for administrative projects or clerical tasks to facilitate effective inter/intra-departmental operations; works with data collection, analysis and presentations
  • Responsible for but not limited to: ordering supplies, triaging phone calls, verbal/written correspondence, scheduling meetings and/or functions, maintaining the Executive Directors' calendar, documenting meeting minutes/agendas, liaising with outside vendors for maintenance of department equipment and internal hospital signage, submitting payroll, accounts payable, and ensuring compliance with regulatory permit applications/renewals.
  • Provides administrative support for all departments with:
    • On-site regulatory surveys as necessary
    • Completion of regulatory documentation
    • Updating written departmental policies & procedures as needed
    • Assists the Directors & Managers of identified areas with review and reconciliation of monthly expenses and departmental reports
  • Responsible for various tasks among departments including:
    • Facilities: coordinates and manages CMMS programs and data collection
    • Facilities: implementation of any new Support Services initiatives
    • Security/Parking: Safety Committee meetings, Safety Walk Round schedule
    • EVS/Transport: coordinates HCAHPS rounding and documentation

  • High school diploma or GED certificate required; Bachelor's degree preferred
  • Prior work experience (minimum of 5 years) may be considered in lieu of post-secondary educational degree; preferably experience in project administration, operations or healthcare 
  • High level of proficiency with Microsoft 365 (Office) required
  • Strong organizational, time management and communication skills required
  • Strong data analysis and data display skills 
  • Detail-oriented and ability to multi-task in a fast-paced environment and adapt to changing priorities
  • Demonstrates maturity and discretion to handle confidential matters of sensitive nature
  • Staff adheres to all I C.A.R.E. Standards
