Position Summary:

The Project Administrator will assist in the development of new facilities in existing and emerging markets which will include project support for licensing, facility design, build-out, and inspection. The Project Administrator will support project managers and leadership with organization, coordination, and communication for all aspects of the project. They will be responsible for tracking project metrics and financials and reviewing with management.

Essential Job Functions:

  • Support the project management/expansion team in all functions, but specifically to ensure timely and professional communication between general contractors, design teams, subcontractors, suppliers, and internal departments
  • Coordinate and administratively manage multiple projects at once. Prioritize projects including multiple deadline-driven deliverables for various teams, while maintaining accurate project documents for the duration of the project
  • Assist in preconstruction activities, including setting up the project folders (all drawings, scopes of work, reporting, and other required project documents)
  • Collaborate with Project Manager to review submittals, change orders, RFPs, updating quotes and terms, Pay Applications, and contract agreements (AIA and otherwise)
  • Maintain project directory and a variety of computer and related files on assigned projects within internal PM systems and file sharing programs
  • Create/prepare Requests for Proposal (RFPs), organize documents from participating bidders & manage communication with bidders & internally, as needed
  • Assist with closeout, including closeout documents
  • Various other administrative functions as required; maintain appropriate documentation throughout the project including change order logs, submittal logs, etc. and prepare and present project status reports
  • Comply with all state medical cannabis regulations
  • Other duties as assigned by your supervisor

Qualifications:

  • Must be at least 21 years of age
  • Must be able to pass all background check and licensing requirements as set forth by the state
  • High school diploma or equivalent, required
  • Minimum 2 (two) years' experience in project administration role required
  • Construction experience, preferred

  • Ability to interact clearly and effectively, in both written and oral communication, with supervisor, colleagues, clients, vendors, etc.
