Program Coordination/Management (60%)

Works independently to coordinate the DoIM Finance and Charged Capture Shared Services activities/programs that support multiple departments and sections within the division. Manages multidepartment and divisional meetings and conferences, as well as details for departments that onboard into the Shared Services, including appointments, orientation into both the finance and charge capture shared services, and information technology access (i.e.: SharePoint). Coordinates the development, dissemination, and monitoring of monthly reconciliation schedules, budget calendars, and other schedules. Provides input in the development, coordination, and distribution of mentoring/teaching materials. Composes correspondences and generates reports for the DoIM, Director Administration, Finance Manager, and Division Administrator. Liaison and division representative for departments under the shared services. Maintains current and thourough knowledge of accounting and charge capture policies and procedures that impact the programs. Uses independent judgement and complex analysis to gather facts and determine appropriate solutions.

Resource Management & Administrative Operations (20%)

Maintains database with Finance and Charge Capture data. Coordinates, tracks, and maintains reports that impact monthly reconciliation, budget, faculty recognition goals, etc. Create and routinely update the shared services SOPs, orientation handbook, and other how to's. Create and implement best practices to ensure optimized level of productivity and efficiency. Develop and maintain the policies and procedures applicable to each shared service program (Finance and Charge Capture). Ensure training activities are successful by surveying at the end of each session to obtain feedback. Develop, cultivate, and maintain working relationships with internal and external departments. Supports the staff in the Finance and Charge Capture Shared Services by updating spreadsheets, creating and formatting presentations, facilitating meetings, and other administrative activies led by the DoIM, Director Administration and/or the Finance Manager. Serves as a liaison to ensure department related responsibilities are maintained and communicated to the DoIM, Director of Administration. Creates agendas, takes minutes, initiates meeting notifications, postponement, cancellations, and reminders for meetings led or involving the DoIM, Director of Administration and Finance Manager. Exhibits flexibility when necessary.

Financial (20%)

Assists with preparation of budgets, justifications, and financial reporting for programs. Compile data, spreadsheets, and reports for various projects on a monthly basis. Reconcile, maintain documents and reports for procurement card and departmental purchases for various projects. Provide financial reporting and procurement assistance to departments within the Division. Monitor and administer program/project revenues and expense; may develop or participate in the development of funding proposals for the program.

EDUCATION: Bachelor's degree in Business Administration or related field. Education preferred: Master's degree.

EXPERIENCE: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
