Job Summary:
We are seeking a Procurement Assistant to join our team. Reporting to the
Procurement Manager, the successful candidate will play a crucial role in ensuring a
smooth flow of raw materials to meet production demands. The Procurement
Assistant will collaborate closely with the production team to understand and
anticipate material needs, manage inventory levels, and contribute to the overall
efficiency of our procurement processes.

Key Responsibilities:
Material Planning:
Work closely with the production team to understand production schedules and
forecast material requirements accurately.
Analyze historical sales patterns to predict future material needs.
Utilize various internal tools such as recipes and batch production records to
understand how sales forecasts impact raw material needs.

Supplier Coordination:
Coordinate effectively with suppliers to place orders, track deliveries, and resolve
any issues related to materials, ensuring timely and cost-effective procurement.
Regularly communicate with suppliers to gather information on lead times,
production capacities, and potential disruptions.
Generate and manage purchase orders based on production requirements and
inventory levels.
Track the status of orders, ensuring timely deliveries and resolving any issues that
may arise.

Inventory Management:
Conduct weekly inventory counts and reconcile discrepancies. Keep track of stock
levels, expiration dates, and ensure optimal stock rotation.
Work with procurement manager to establish and maintain appropriate safety stock
levels for raw materials.
Monitor inventory levels to prevent stockouts and production delays.
Problem solves issues related to raw material storage best practices.

Data Entry and Reporting:
Maintain accurate and up-to-date information in the internal warehouse
management software.
Generate regular reports on inventory levels, order statuses, and other relevant
metrics.
Regularly and comfortably use Excel and Microsoft Teams to accomplish daily tasks.

Supplier Evaluation:
Collaborate with procurement manager to build supplier vetting processes and
onboard new suppliers.
Work with existing and potential suppliers to bring in new material samples and
COAs to ensure we are working with the best materials at the best cost.

Risk Management:
Identify potential risks to the supply chain and develop contingency plans to
mitigate risks and ensure a continuous supply of materials.

Documentation:
Manage procurement documentation such as purchase orders, invoices, and
contracts. Ensure that all records are organized and readily available for audits.
Learning and Development:
Stay updated on industry trends, procurement best practices, and advancements in
warehouse management software.
Participate in training sessions to enhance skills and knowledge.
Occasionally travel to trade shows, expos, and conferences (10% travel).
Collaboration:
Foster effective communication and collaboration with cross-functional teams,
including production, logistics, and finance, to address any procurement-related
challenges.
Participate in regular meetings to discuss production schedules, changes, and any
potential challenges.

Qualifications and Skills:
Experience in a procurement or supply chain role is ideal.
Experience in a manufacturing environment is preferred.
Strong organizational skills with good attention to detail.
Excellent communication and interpersonal skills.
Proficiency in using MS Office Suite and Excel.Ability to adapt quickly to changing priorities and work effectively under pressure.
Basic knowledge of procurement best practices and familiarity with inventory
control principles.
