REPORTS TO: Deputy Director, Center for Best Practices

ORGANIZATION BACKGROUND
Founded in 1908, the National Governors Association is the bipartisan organization of Governors from the 55 states, territories and commonwealths. NGA’s mission is to share best practices, address issues of national and state interest, and drive innovative solutions that improve state government and support the principles of federalism.

NGA’s Center for Best Practices is the policy and research arm that helps Governors develop and implement solutions to public policy challenges. NGA’s Government Relations team assists in ensuring the voice of Governors are heard in Congress, and the Executive Branch and NGA’s Communications team collaborates with Governors’ offices to amplify bipartisan messaging and strategy.

Throughout the year, NGA’s Membership team convenes Governors and senior advisors for meaningful discourse, problem-solving and thought leadership.

KEY RESPONSIBILITIES OF THE POLICY COORDINATOR
We’re looking to add a bright, resourceful and organized Policy Coordinator to our NGA Center for Best Practices team supporting multiple policy teams. In this role, you will provide administrative, organizational, and basic research assistance to two or more policy issue teams within the NGA Center for Best Practices.

Other important responsibilities of the Policy Coordinator include:

  • Support Center leadership and policy issue teams with meeting prep, printing, scheduling events and phone calls, corresponding with partner organizations, and managing other correspondence at the request of the Center director, Center deputy director and program directors;
  • Manage calendar appointments and prepare agendas and other relevant materials for policy issue teams including for strategic planning meetings, internal Center meetings, weekly team meetings, and other meetings;
  • Coordinate administrative logistics for events (onsite and virtual), in collaboration with the events team. This includes supporting registration, travel logistics, participant expense reimbursement, speaker preparation and management, badge production, data collection and reporting, virtual meeting set-up and support, and other event related tasks;
  • Coordinate projects, distribute information, maintain an organizational system of tracking, monitoring and prioritizing tasks and projects; follow up on details in writing, on the telephone, virtually using a variety of web tools, or in-person; and communicate project status to policy issue team management;
  • Manage database contacts and groups to ensure information is accurate and up to date;
  • Support all phases of document preparation, including proofreading;
  • Collect information and compile newsletter content with input from other policy staff;
  • Work with policy staff s to assist in developing reports, materials for site visits, and provide other research assistance support as needed;
  • Manage the expense reimbursement process for state staff and others participating in NGA meetings;
  • Assist with grant reporting requirements by compiling information from policy staff and working with the Finance Office to obtain pertinent budget materials;
  • Maintain SharePoint file share system, organizational databases, spreadsheets, and other administrative and collaborative tools;
  • Monitor mail and email requests, answer questions and inquiries from policy staff, and route questions to program team members) when appropriate;
  • Demonstrate a commitment to NGA’s mission and goals to constructively serve the needs of all
  • Governors; and
  • Other duties as assigned by the supervisor, the Deputy Director or the Director of the Center for Best Practices.

QUALIFICATIONS
Candidates should have a high school diploma or equivalent, a bachelor’s degree preferred. Two plus years working in a related field, preferably in an area(s) of program and policy issues that are within the portfolio of the NGA Center for Best Practices. Experience working with Governors, working in federal or state agencies or non-profit organizations is highly desirable.

The ideal candidate must have demonstrated ability to:

  • Communicate effectively both orally and in written form;
  • Have attention to detail, deadlines, and demonstrate organizational and time management skills;
  • Work independently, set priorities and handle multiple projects at the same time;
  • Use diplomacy and tact to build strong relationships and motivate internal and external customers;
  • Effectively operate Microsoft Office suite applications and web tools;
  • Collaborate and work in a team environment; and
  • Travel, as necessary
