Position Overview
The Payroll and Billing Clerk is a key position within the accounting department. The Payroll and Billing Clerk will process the weekly payroll for employees and ensure the accuracy of Payroll and compliance with company policies and legal requirements. The Payroll and Billing Clerk will handle all aspects of customer billings and be responsible for the accuracy and timeliness of processing tickets and invoices. This position will report to the Controller.
Essential Duties and Responsibilities

  • Accurate and timely preparation and processing of weekly payroll.
  • Maintain accurate payroll records: Data entry for time and attendance transactions.
  • Make all payroll coding corrections in Viewpoint, Infield and Trackit.
  • Maintain employee confidence and protect payroll operations.
  • Create and produce routine required payroll reports and information data reports as requested by management.
  • Respond to requests for payroll information from internal and external authorized parties.
  • Submit required payroll reports to local or government agencies.
  • Handle all payroll related questions.
  • Maintain knowledge of regulatory guidelines.
  • Ability to effectively and professionally interact with all levels of company employees.
  • Enter fuel usage reports.
  • Assure proper policies are followed.
  • Knowledge of SOX requirements.
  • Compile monthly and/or weekly reports as directed.
  • Ability to research general ledgers and perform reconciliations.
  • Accurately and timely process customer billing.
  • Work closely with the Credit Manager and Sales Team to help resolve invoice issues.
  • Take phone calls and respond to employee and customer inquiries.
  • Upon request, pull and send tickets, invoices, and statements to customers.
  • Assist accounting department as needed.
  • Other duties/projects as deemed necessary.
  • Clerical duties such as data entry, filing, faxing, copying, mailing, organizing.

Education and/or Experience
  • High school Diploma or equivalent.
  • Minimum 2 years related work experience.
  • Must have excellent alpha/numeric data entry skills.

  • Able to interpret an extensive variety of instructions in mathematical, written or oral form.
  • Able to interpret written and oral instructions, and to read, analyze and interpret, operating & maintenance instructions or regulations.

  • Able to talk, hear, and use hands and fingers to manipulate objects, or controls.
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus.

  • Able to move/carry objects up to 25 lbs.
