POSITION SUMMARY:
Performs work to create and organize personnel records, file employee documents, and complete forms as required. Provides excellent customer service by representing facility in a positive and professional manner. Answers phone, greets and assists all employees, applicants, and visitors that walk into department. Assists with the coordination of applicant's employment. Works under direct supervision. Must be pleasant, respectful and courteous to residents, families, visitors and fellow employees at all times.
MAJOR JOB FUNCTIONS:
Responsible for proper record keeping.
- Responsible for all files and records pertinent to employees and Human Resources Department.
- Responsible for processing terminated employee files and taking them out of Relais/PCC system.
- Assists with filing and organizing employee documentation.
- Prepares files and documentation on new employees
- Prepares offer letter
- Enters new employee information, licenses, and personal information changes into HRIS system.
- Provides employment verification on current and past employees.
- Set up Fingerprinting and Background studies through DHS.
- Check status of Background studies through DHS
- Responsible to meet with all new employees after functional assessments to complete employment paperwork, answer questions, and create badge for new employee.
- Record Employee Disciplinary Record in Engage.
- Completes Semi Annual NAR report for Minnesota Department of Health
Assists with the coordination of employment.
- Offers employment following established Human Resources policies as requested by Human Resources staff.
- Distributes completed new hire employment forms to other departments.
- Notifies IT department of new hires/transfers.
Assists with coordination of employment continued:
- Schedules interviews as assigned.
- Monitors and maintains compliance with employee eligibility to work in the United States (I-9's).
- Provides timely communication to Education Department of new hires attending Mini Orientation and/or General Orientation. Distributes new employee badge.
- Initiates correspondence with applicants who are no longer being considered for employment.
- Scanning of new employee's or rescanning of employees into Acustaf
- Checks State of Minnesota RN, LPN, NAR registry.
- Verifies NAR training receipts and to payroll.
- Submits application/receipts for Tuition Reimbursement.
- Provides 90 day review list to Managers
- Assists with yearly employee reviews
- Services as a point person for all employee questions.
- Completes employment references as requested by Human Resources staff.
Miscellaneous duties
- Answers main phone line and directs calls appropriately.
- Greets and assists all employees and applicants that come into the department.
- Responsible for adequate supply and inventory of personnel forms.
- Sends correspondence to employees in regards miscellaneous employment letters, etc. as directed.
- Performs all other duties as assigned.
- Practices good safety habits.
JOB SKILLS, KNOWLEDGE AND ABILITIES:
- High School graduate, prefer post secondary education in the area of records management.
- Prefer 6 months Human Resources experience.
- Must have excellent communication skills and the ability to deal with people under all conditions.
- Must have excellent organizational and computer skills.
- Must have working knowledge of MS Office.
- Must be able to work under pressure and prioritize work load.
- Must be able to multi-task.
- Must be able to perform physical job demands of position.
- Must be able to read, write, and speak English.
