We are currently hiring for an Administrative Assistant / Scheduler for our Pain Management providers.
SUMMARY OF RESPONSIBILITIES
The Administrative Assistant is responsible for providing timely services to patients treating with Pain Management providers, to coordinate patient care, obtain all necessary pre-certifications/referrals, completion of forms. Administrative Assistants are responsible to ensure patients’ needs are communicated to providers, calls are returned and appropriate charting of patient requests, conditions and care. Administrative Assistants are responsible for the coordination of physician and patient activities.
ESSENTIAL FUNCTIONS
- Assists patients by determining needs and following through with care coordination related to patient needs or requests.
- Provides professional customer service by listening and following up on all assigned tasks.
- Responsible for obtaining authorizations/referrals for pain management procedures.
- Assists patients with questions or concerns regarding their care.
- Accurately documents patient accounts of all actions taken.
- Interacts professionally with other employees, customers, suppliers & reps.
- Works independently while understanding the necessity for communicating and coordinating work efforts with other employees and management.
- Maintains strictest confidentiality; adhering to all HIPAA guidelines/regulations.
- Maintains regular and punctual attendance
- Educates clinical staff and management regarding changes to insurance and regulatory requirements that impact workflows.
- Informs management of any patient complaints, problems with providers, workflow changes that hinder efficiency, changes or improvements made to a process, inability to complete work by assigned deadlines.
- Supports BPCI program by performing data entry duties.
- Other projects and administrative duties as assigned by manager.
KNOWLEDGE AND SKILLS
- Must be organized and detail-oriented.
- Experience working with Navinet, practice management software and EMR.
- Knowledge of computers and database/word processing/spreadsheet software.
- Knowledge of standard office procedures and equipment.
- Excellent communications skills.
- Ability to prioritize tasks.
- Must be able to process complex data and communicate to physicians and providers.
- Strong initiative and planning skills.
- Strong interpersonal skills with attention to detail and accuracy.
- Ability to communicate effectively in written and spoken English.
- Proven effectiveness in verbal and written communication with the team, department and other customers.
- Demonstrates overall knowledge of scheduling pain management procedures and authorization processing for insurance companies including private, commercial and government carriers.
- Demonstrates overall knowledge of managed care plans.
- Demonstrated ability to manage multiple tasks and demands given tight time constraints while ensuring a high degree of accuracy and attention to detail.
- Demonstrate a strong commitment and dedication to attendance and self-improvement.
EDUCATION AND WORK EXPERIENCE
- High School Diploma or equivalent.
- Minimum of one-year work experience in customer service.
- Experience working in a multispecialty group practice or healthcare system preferred.
- Experience in insurance authorizations desirable.
- Experience surgical scheduling experience preferred.
- Two years’ experience in orthopedic office setting desirable.
WORKING CONDITIONS
- May be occasional lifting of supplies up to 70 lbs.
- Low to moderate overtime required throughout the year.
