Job Description
We are seeking a detail-oriented Operations Assistant to join our team. In this role, you will provide administrative, basic accounting, and compliance support to our organization. This includes assisting the President and Vice President as needed; and handling a wide range of day-to-day administrative functions to leverage the time of other team members.
Responsibilities:
- Perform basic accounting tasks, such as data entry, processing invoices, and reconciling accounts
- Assist with compliance tasks, ensuring adherence to organizational policies and procedures
- Provide administrative support to the President and Vice President, managing their calendars, organizing meetings, travel arrangements, and handling correspondence
- Help manage international operations, including coordinating with teams in different locations
- Assist in preparing documents, reports, and presentations
- Assist with management of website content
- Handle general office management duties, such as maintaining office supplies and managing incoming and outgoing communications
- Complete other tasks and projects as assigned
Requirements:
- High attention to detail and strong organizational skills
- Attention to deadlines and the ability to deliver against multiple priorities.
- Previous experience in an administrative or operations role preferred
- Basic knowledge of accounting principles and experience with accounting software or data entry
- Previous experience with compliance procedures and regulations
- Excellent communication and interpersonal skills
- Ability to handle confidential information with discretion
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Basic knowledge of HTML helpful but not necessary. Willing to train.
Working conditions are normal for a telecommuting office environment (occasional need to work from the office with the majority of work being done remotely). Work hours are Monday through Friday from 8:30 a.m. to 5 p.m. ET. Work may require occasional weekend and evening work.
