Position Summary
We are seeking a self-motivated and detail-oriented critical thinker, Operations Coordinator with a passion for justice. The Operations Coordinator is responsible for providing administrative support that encompasses office management, event logistics, human resources, financial management, and executive support. The Operations Coordinator will work closely with the Executive Director to develop and implement strategies and processes that ensure the company’s operational efficiency and sustainability.
The ideal candidate will have excellent written and verbal communication skills, exceptional problem-solving skills, administrative experience, basic accounting experience, event coordination experience, social media acumen and comfort with various technologies and softwares such as Quickbooks, Google Suite, Slack, Salesforce, Salsa, VAN and Microsoft Office.

Duties & Responsibilities:
  1. Operations & Human Resources administrative support for State Director
  2. Bookkeeping: categorize and track expenses in Zipbooks
  3. Accounting/finance: assist with updating cash flow, and budget; help prepare finance reports; manage and code credit card expenses, process checks, invoices, and reimbursements, and forward receipts to accounting.
  4. Tax Compliance: file key organizational documents digitally and in hard copy
  5. Payroll: tracking of hours, staff reimbursements and paying vendors
  6. Office management: organize office, track interpretation devices and computers, order supplies, book use of conference rooms, answer phones, etc.
  7. Manage event coordination and logistics (i.e., book spaces, find vendors, order food, event registration, hospitality)
  8. Oversee CRM (Client Relationship Management), including:
  9. Salesforce: Grant and Foundation Relation Management
  10. Salsa Engage: Donor & Volunteer List Management
  11. Open and sort mail; scan, file and enter all checks into development software and routinely update Development team on gift processing
  12. Blocks: Volunteer Engagement Management
  13. Data Support
  14. VAN data integration and support for voter outreach programs (text & phone banking)
  15. Train and supervise volunteers, schedule shifts for tasks like data entry, voter registration, and event registration
  16. Provide coaching and support to grow and strengthen data usage, ownership, and leadership; lead training on data systems for staff and volunteer leaders to build capacity to integrate data tools as an asset in organizing efforts.
Qualifications & Requirements:
  1. Excellent written and communication skills
  2. Experience with Google Suite, Microsoft Office, development(CRM) and internal financial processing systems, banking, and/or tax filing preparation and an aptitude for learning new applications
  3. Successful 2 years experience managing an office environment
  4. Excitement to grow your skills in a growing organization with opportunity to establish systems and process that support a culture of accountability
  5. Excellent time management skills: able to manage and completely execute multiple projects, prioritize, and meet deadlines
  6. Proven cultural competency to work effectively with people from diverse racial, cultural, religious and socioeconomic backgrounds and generations
  7. 3-5 years of experience working in nonprofit administration or related field
  8. Excellent database management skills, i.e. record keeping, analysis, research, and reporting
  9. Problem-solving and critical thinking skills to develop strategies
  10. An extremely high level of attention to detail and commitment to excellence and accuracy
  11. An understanding of the need to handle confidential information with discretion
  12. Ability to work both independently and collaboratively with a creative and innovative team
  13. 2 years of Event coordination or project management experience
  14. Driver’s license required; access to a vehicle preferred
  15. College Degree preferred
  16. 2 years experience with website and social media maintenance
  17. At least 1 year experience with community organizing, grassroots organizations, and/or nonprofits preferred
  18. Ability to work weekends and evenings as needed
  19. The job includes some evening and weekend work.
  20. Hybrid position; the employee is able to work from home but must be able to report weekly to the office. Employees must be available for in-person meetings and campaign efforts.
