Job Description
- Operations & Human Resources administrative support for State Director
- Bookkeeping: categorize and track expenses in Zipbooks
- Accounting/finance: assist with updating cash flow, and budget; help prepare finance reports; manage and code credit card expenses, process checks, invoices, and reimbursements, and forward receipts to accounting.
- Tax Compliance: file key organizational documents digitally and in hard copy
- Payroll: tracking of hours, staff reimbursements and paying vendors
- Office management: organize office, track interpretation devices and computers, order supplies, book use of conference rooms, answer phones, etc.
- Manage event coordination and logistics (i.e., book spaces, find vendors, order food, event registration, hospitality)
- Oversee CRM (Client Relationship Management), including:
- Salesforce: Grant and Foundation Relation Management
- Salsa Engage: Donor & Volunteer List Management
- Open and sort mail; scan, file and enter all checks into development software and routinely update Development team on gift processing
- Blocks: Volunteer Engagement Management
- Data Support
- VAN data integration and support for voter outreach programs (text & phone banking)
- Train and supervise volunteers, schedule shifts for tasks like data entry, voter registration, and event registration
- Provide coaching and support to grow and strengthen data usage, ownership, and leadership; lead training on data systems for staff and volunteer leaders to build capacity to integrate data tools as an asset in organizing efforts.
- Excellent written and communication skills
- Experience with Google Suite, Microsoft Office, development(CRM) and internal financial processing systems, banking, and/or tax filing preparation and an aptitude for learning new applications
- Successful 2 years experience managing an office environment

- Excellent time management skills: able to manage and completely execute multiple projects, prioritize, and meet deadlines
- Proven cultural competency to work effectively with people from diverse racial, cultural, religious and socioeconomic backgrounds and generations
- 3-5 years of experience working in nonprofit administration or related field
- Excellent database management skills, i.e. record keeping, analysis, research, and reporting
- Problem-solving and critical thinking skills to develop strategies
- An extremely high level of attention to detail and commitment to excellence and accuracy
- An understanding of the need to handle confidential information with discretion
- Ability to work both independently and collaboratively with a creative and innovative team
- 2 years of Event coordination or project management experience
- Driver’s license required; access to a vehicle preferred
- College Degree preferred
- 2 years experience with website and social media maintenance
- At least 1 year experience with community organizing, grassroots organizations, and/or nonprofits preferred
- Ability to work weekends and evenings as needed
- The job includes some evening and weekend work.
- Hybrid position; the employee is able to work from home but must be able to report weekly to the office. Employees must be available for in-person meetings and campaign efforts.
