Primary Function: Working closely with the Controller, the Operations, Bookkeeping, & CoWork Space Assistant is an Operations Generalist who is comfortable wearing a lot of hats. He or she executes projects and tasks related to the daily operations of The Beale Group and its subsidiaries, ensuring that the businesses are great places to work and are well-coordinated, efficient and productive. He or she will primarily work at The Livery CoWork and interface with CoWork members and the public on a day-to-day basis.
Essential Job Duties: Day-to-day bookkeeping, data entry, sales/customer service, and facilities management tasks to keep the company and its subsidiaries running smoothly.
Specific Job Duties: Answering phones, greeting guests, giving tours, populating, entering data and reporting using various software systems, monitoring and ordering supplies, maintaining office equipment, running office errands, organizing facilities and filing, assisting with marketing, social media projects and event planning, assisting with recruiting and other human resources-related activities, helping to create and manage emergency response plans, taking meeting notes, and other duties, as needed.
The Operations, Bookkeeping, & CoWork Space Assistant must prioritize self-care, family life, and laughing a lot.
Reporting Relationships: The Operations, Bookkeeping, & CoWork Space Assistant reports to the Controller.
Skills and Qualifications:
- Very detail oriented
- Extremely tech savvy, not afraid to dive into new software and learns quickly
- Excellent organizational abilities
- Strong research, analytical, communication and interpersonal skills
Education and Experience:
- AA or Bachelor's Degree
- Experience with Quickbooks Online and Microsoft Office (Outlook, Word, Excel, Sharepoint) required
- Experience in GAAP accounting for multiple companies with a single owner preferred
- Experience with CoWorking software (Nexudus) a huge plus
- Experience in architectural and/or construction industries a plus
- Experience with Buildertrend a plus
