Overview
Under general direction, the purpose of this position is to provide planning, scheduling and coordination of facilities maintenance work. The Facilities Maintenance Planner will be an integral part of the planning and scheduling process for reoccurring services and preventative maintenance work orders working with positions such as Trades Technicians, Supervisors, Logistics Techs and Building Code Compliance Office. These important functions contribute to the efficient and orderly accomplishment of maintenance work.
Responsibilities and Qualifications
EXAMPLES OF ESSENTIAL FUNCTIONSResponds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
Coordinates maintenance work with positions such as Trades Technicians, and Supervisors.
Responsible for data research utilizing SAP, to include analyzing and charting reports.
Oversee all activity in MyGov and keep permit log to track permit status.
Oversees all other activities involved with permit which includes resolving discrepancies, customer service and maintaining a filing system.
Generate, analyze and monitor preventive maintenance work orders and schedule inspections as required.
Maintain a filing system for all job related duties.
Responsible for creating, maintaining, and updating re-occurring services database.
Submit and manage claims for manufacturer warranties on parts and equipment.
Submit and track insurance reimbursement claims.
Submit, schedule, and track repairs on leased portables.
Maintain spreadsheet for tracking assets and equipment.
Liaison with utility companies for emergencies.
Prepare, submit and track required documents for funding approval processes, as needed.
Specifies the material, equipment, machinery, and vehicles that need to be available at the job site for the maintenance to be performed.
Reviews drawings, floor plans, maps, schematics, technical diagrams, tables, graphs, charts, photos, pictures, etc.
Assists in the annual inspection of facilities and facility equipment for condition assessment and inventory, as time permits.
Assures work requirements meet established standards and are within authorized criteria.
Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
Responsible for timely and accurate information they maintain as part of their job responsibilities.
Performs other relevant duties and responsibilities assigned by Management.

MINIMUM TRAINING AND EXPERIENCEHigh school diploma or GED and five (5) years of work experience in business management, construction, facilities maintenance, architecture, engineering or project management or related field; or any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions. Ability to use a computer and a wide array of software programs. Ability to read manufacturer's specification sheets and extract preventive and predictive maintenance. Must be able to obtain and maintain a valid Florida Driver's License.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of motor vehicles to conduct project inspections, and ability to effectively use standard hand tools such as levels, tape measures, and screwdrivers.
Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and advisory data and information, i.e., plans and specifications, architectural drawings, building and engineering codes.
Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication and division; ability to calculate decimals and percentages; may include ability to perform mathematical operations with fractions; may include ability to compute discount, interest, profit and loss, ratio and proportion; may include ability to calculate surface areas, volumes, weights, and measures.
Functional Reasoning: Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.
Situational Reasoning: Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving evaluation of information against measurable or verifiable criteria.
ADA COMPLIANCEPhysical Ability: Tasks involve the ability to exert moderate, though not constant physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).
Sensory Requirements: Some tasks require the ability to perceive and discriminate colors or shades of colors. Some tasks require the ability to perceive and discriminate sounds, depths and odors. Some tasks require oral communications ability. Most tasks require visual perception and discrimination.
Environmental Factors: Tasks are regularly performed with exposure to adverse environmental conditions, such as machinery, traffic hazards, temperature and noise extremes, disease, smoke and dusts, and toxic/poisonous agents.
