Job Description
Prosser Clapper & Johnson PLLC, a boutique civil litigation firm focused on matters involving the financial services industry, is seeking an Office Administrator/Paralegal. You will be responsible for ensuring the smooth functioning of our office by managing day-to-day operations, ensuring adherence to deadlines, assisting attorneys, coordinating meetings, and organizing document intensive cases.
As the ideal candidate for this position, you should:
1. have experience in a law firm or in-house legal department – ideally in a litigation focused role;
2. have excellent organizational and communication skills;
3. be a self-starter who likes taking the initiative to understand and assist on complicated matters;
4. be comfortable working with financial data;
5. possess attention to detail;
6. be adept at using various systems and software programs such as Microsoft Office (Outlook, Work, Excel), Adobe, Clio, document management platforms and experience with typical office equipment; and
7. possess knowledge of the litigation process.
Duties include:
1. Assist with case management, billing, and payroll;
2. Manage, distribute, and organize filings and correspondence received by the firm
3. Assist with management of incoming and outgoing mail, email, and other shipments and correspondence
4. Bookkeeping for general accounts and IOLTA
5. Handle administrative tasks such as answering calls, managing office supplies, and organizing meetings/events
6. Document review
7. Assist attorneys with deadlines, mediation; trial prep; client meetings and general office organization
8. Work in conjunction with other office staff for file management and organization
9. Manage office calendars
10. Communication with court staff
11. Aiding attorneys in organizing and categorizing discovery
12. Proof reading
13. Case filing
14. Interact with the firm’s third-party information technology and cyber security vendor
