STATUS: Classified – Non-Exempt, Full Time
HOURS OF WORK: 8 hours a day / 172-day calendar 9-month position
POSITION SUMMARY:
This position is responsible for providing a variety of secretarial support to assigned administrators and departments; establishing and maintaining department records; coordinating assigned projects; and compiling and distributing a wide variety of material and reports. This position reports directly to the Principal.
PRIMARY DUTIES/RESPONSIBILITIES:
Attends department and/or in-service meetings to convey and/or gather information required to perform functions.
Compiles data (e.g. work orders, budget reports, specialized reports, personnel records, inventory, department attendance, etc.) to prepare reports or process requests.
Coordinates assigned projects and/or program components (e.g. research applications, Professional Growth Action Plans, technology bids, arrangements for conferences, travel requirements, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
Maintains inventory of supplies, materials and equipment (e.g. forms, office supplies, technology parts, etc.) to ensure items' availability.
Maintains a variety of manual and electronic documents files and records (e.g. work orders, time sheets, expense reimbursement requests, reports on accounts, Inservice points, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Prepares a variety of correspondence, reports and other materials (e.g. letters, memorandums, minutes, charts, periodic and ad-hoc reports, reports on department accounts, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
Processes a variety of documents and materials (e.g. time sheets, work orders, requisitions, travel reimbursements, purchase orders, non-district employee credential renewal plans, receipt and inventory of equipment; etc.) for the purpose of disseminating information in compliance with established administrative guidelines.
Research assigned topics (e.g. current practices, policies, education codes, competitive bids, etc.) for the purpose of providing information that address school operations.
Responds to inquiries from a variety of internal and external parties (e.g. district staff, other schools, government agencies, general public, students, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
EDUCATION AND EXPERIENCE REQUIREMENTS:
3-5 years of previous secretarial experience required
Bachelor’s degree preferred
Experience with basic accounting and bookkeeping principles

PHYSICAL REQUIREMENTS:
This position requires the performance of light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The position typically involves 80% sitting, 10% walking, and 10% standing. The position requires visual acuity as well as frequent hearing and talking and some crouching, grasping, kneeling, lifting, pulling, pushing, stooping, and significant fine finger dexterity. This position is performed in an indoor and generally hazard free environment.
