Job Summary:

Primary responsibility for supervising the Patient Coordinators within the Department of Diagnostic Services. Provides direct supervision of Patient Coordinators, including recruiting, training, scheduling, assessing, and counseling staff. Collaborates with Patient Access Scheduling team to ensure Imaging resources are being utilized effectively. Collaborates with Central Referral Team to ensure Imaging exams are financially secured prior to performance. Participates in denial review and makes recommendations to changes in process to minimize denials in payment. Oversees image importing and distribution to other facilities and to patients. Ensures the department is operating in an efficient and effective manner consistent Rush policies, procedures, goals, objectives, and initiatives. Contributes to short and long-term planning, budgeting, selection, and oversight of equipment, coordinating with other departments, agencies, or institutions, as well as assuring that the goals and objectives of the section are met. Exemplifies the Rush mission, vision, and values and acts in accordance with Rush policies and procedures.

Job Responsibilities:

1. Oversees and manages daily operations in a manner that meets departmental benchmarks and targets for employee engagement, patient satisfaction, staff and patient safety, access to services, response time targets and optimization of staff and equipment utilization.

2. Solicits feedback to ensure the highest standards of professionalism are being applied by staff and students. Independently evaluates performance of staff and students to assure excellence of service, positive morale and consistency with the patient and family centered ICARE/ICONNECT principles

3. Develops and maintains contacts with training programs and within the community for the purpose of attracting Patient Coordinators. Evaluates applicants. Conducts and coordinates employment interviews.

4. Responsible for creating and maintaining a staffing schedule that balances capacity with demand. Oversees scheduling of staff and patients; organizes meetings, activities, materials and space; evaluates staff and counsels individuals when necessary.

5. Anticipates problems and issues, makes recommendations on design of new workflows and/or facilities, evaluates future needs, generates ideas for improvement and encourages others to do likewise. Implements ideas in coordination with appropriate stakeholders.

6. Works closely with Patient Access Scheduling Team to ensure Imaging resources are being utilized in an efficient and effective manner.

7. Works closely with the Central Referral team to ensure Imaging exams are properly authorized and financially secured prior to date of service.

8. Participates in denial review and makes recommendations to workflow and processes to minimize denial of payment for imaging services.

9. Oversees the external image importation process.

10. Oversees the process for image sharing between organizations and release of images to patients.

11. Assumes spot in staffing rotation as needed to ensure proper staffing relative to workload. Works within the group and capable of performing all functions within the area of responsibility.

12. Acts as liaison to other sections, departments, and institutions. These include Human Resources, Infection Control, Occupational Safety, Research Coordinators and affiliated training programs.

13. Collaboration with Section Medical Director to ensure department is aligned with Medical leadership and programs.

14. Institutes, oversees and implements quality improvement activities for area of responsibility applying CPE/DMS methodology. Maintains standards that meet or exceed JCAHO requirements.

Required Job Qualifications:

High school diploma/GED required. College degree preferred.

Minimum of five years of experience in the field.

Current CPR or Basic Life Support (BLS) Certification BLS from American Heart Association preferred

Excellent patient care, customer service and interpersonal skills consistent with ICARE/ICONNECT guidelines

Solid communication and analytical skills

Solid leadership skills

Physical Demands:

Requires manual and finger dexterity and eye-hand coordination.
