Position Summary:

As the Office Manager, you will report directly to the owner and work in tandem with the Production Manager. You will be overseeing areas of the office including billing, front desk, administration, sales and human resources. As a leader in the office, you will be expected to optimize management decision-making through the reporting and analysis of financial information. You will also be responsible to facilitate the acquisition and retention of qualified and aligned employees through the development and implementation of recruitment, hiring, compensation, benefits and training services. As Office Manager, we will expect you to provide staff support for the acquisition and retention of patients. You will be assisting in achieving the clinic’s strategic objective through the review of the clinic’s orchestration and to provide recommendations for improvement.*


Performance Objectives:

  • Execute strategic planning that tailor hiring, benefits, career development, succession planning, and employee policies to help drive towards the clinic’s vision
  • Evaluate, monitor and improve financials, informational technology and administrative systems, in a way that promotes an effective, smooth-running organization
  • Engage in regular employee development meetings and feedback is documented through monthly 1 on 1’s, alignment conversations and goal-oriented discussions
  • Deliver progressive discipline and manage personnel files
  • Facilitate onboarding and training experience
  • Plan and implement schedule for staff to promote a frictionless experience for our team and our patients
  • Lead the team with innovative ideas to help boost production and implement new systems
  • Facilitate the acquisition and retention of clients by training and assisting staff in their use of information technology
  • Support the retention of employees by administering payroll and benefits systems, providing information to management, and responding to employee inquiries
  • Provide information and services related to document production and storage, office supplies, mail delivery, facility maintenance and maintenance of clinic manuals
  • Maintain optimal and orderly cash flow by tracking, billing and collecting revenues owed to the clinic
  • Measure how prospects perceive our clinic as emotionally satisfying and converting these leads into sales through the execution of our orchestrated sales process.
  • Align the goals of the employees to the goals of the clinic to create a strong results-oriented culture and high engagement
  • Manage officewide projects (Asana experience preferred)

Education & Experience:

  • Bachelor’s degree in Business Administration, Human Resources, Organizational Development, or related area of study
  • 5+ years of management experience preferred
  • Experience in developing teams and maintaining positive and aligned culture
  • 2+ years of recruiting experience preferred
  • 2+ years working in a private practice preferred
  • HR Certification preferred (PHR, SHRM-CP, etc.)

Available shifts and compensation: We have available shifts all days of the week. Compensation is $24.00 - $28.00/hour.
