Operations and Events Manager, Medical Affairs

The position provides high-level administrative support to Medical Affairs personnel, managing cross-functional Operations and taking a leadership role in managing critical operational needs. Let's talk about some of the key responsibilities of the role:

Medical Affairs Events

You will play a pivotal role in planning, organizing, and executing a wide range of events. You will be responsible for overseeing all aspects of event management, from conceptualization, and planning to execution and evaluation. The event manager will work closely with clients, vendors, and internal Cross functional teams to ensure the successful delivery of events that meet and exceed expectations.

  • Event Planning and Strategy: Develop and implement event strategies that align with department and corporate goals and objectives, ensuring seamless execution of events from start to finish. Manage the planning, logistics and communications for educational events, webinars, trainings etc.
  • Event Communications: Create source materials and assets to effectively communicate event details. Manage all event communications internally and externally.
  • Vendor and Contractor Management: Identify, select, and manage vendors, contractors, and suppliers, negotiating contracts, and ensuring they deliver as per the agreements.
  • Event Logistics: Oversee all logistical aspects of events, Including venue selection, catering, audiovisual requirements, transportation and more.
  • Team Leadership: Manage and lead a team of external and Internal coordinators, planners, support staff, ensuring everyone is aligned with event tasks, expectations, and goals.
  • Budget/Invoice Management: Create and manage event budgets, ensuring all expenses are within budgetary constraints while delivering high quality events. Liaises with Finance for budget management and reconciliation, invoice receipt, purchase order creation and routing for all Medical Affairs contracts, and correspondence with grant recipients, vendors and contracted MACs as applicable.
  • Risk Management: Identify and mitigate potential risks, ensuring safety and compliance requirements.

Medical Affairs Operations

Anticipate the needs of Medical Affairs personnel in a fast-paced environment by proactively bringing together resources to fulfill those needs. You will drive Improvement projects, processes, simplification, and automation programs by proposing innovative solutions gathered from stakeholder feedback.

  • Administrative Support: Provide high-level administrative support to Medical Affairs personnel in conjunction with other cross-functional teams including Sales, Accounting, Finance, Marketing, and Digital.
    • Strategic Planning: Collaborate with senior management to develop and implement operational strategies and objectives that align with the department and company's overall goals and vision.
    • Process Improvement: Continuously evaluate existing operational processes and workflows to Identify areas for improvement in efficiency, productivity, and cost-effectiveness.
    • Resource Management: Efficiently allocate and manage resources including personnel equipment, documentation, and services to optimize operational performance.
    • Performance Metrics: Define and track KPIs to assess the effectiveness of Operations and Implement data-driven Improvements. Maintain and manage Medical Affairs databases.
    • CRM Management: Manage CRM Salesforce workflows and processes. Manage and distribute reports and tracking. Daily monitoring of Salesforce for training request scheduling and training product needs.
    • Team Leadership: Foster effective communication and collaboration between different departments. Provide support to a team of employees to ensure a motivated and agile workforce.
    • Communications: Create, implement, and collaborate with internal teams to generate training documents, department updates, and SOPs. Manage and oversee internal and external calendars.
    • Client, Vendor and Contractor Management: Manage relationships with clients, external vendors, and contractors by ensuring contractual obligations are delivered, resolving Issues and enhancing the client, vendor and contractor experience.

Skills and Qualifications Required for this Dynamic Leader:

  • Must have extensive event management and production experience.
  • Able to independently manage multiple priorities and follow tasks through to completion, including navigating and removing critical roadblocks.
  • Experience with developing operational processes that increase efficiency in day-to-day business runs.
  • Ability to analyze complex systems as well as troubleshoot and isolate system issues.
  • Outstanding communication and team collaboration skills with a high level of personal and professional integrity and ethics.
  • Ability to work autonomously while partnering effectively with departments, cross-functional teams, vendors, and contractors.
  • Efficiently manages shifting priorities, demands and timelines through analytical and problem-solving capabilities, prioritization, and communication.
  • Understanding of high-level business landscape including key strategic priorities, with an equal ability to dig into the details and connect them back to the overall strategy and objectives.
  • Experience in stakeholder management; comfortable interacting with different levels of the organizations.
  • Flexible to adapt to changing needs and deadlines.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Salesforce
  • Pluses: Current working knowledge and application of RSVPify, Monday.com, Smartsheets, NetSuite, Concur, Paperflite, DocuSign

A Few Other Items Worth Mentioning:

  • Office location - Newport Beach, CA Hybrid: Onsite Tuesday through Thursday
  • This position reports directly to the Vice President, Medical Affairs
  • Travel may be required.

Compensation & Total Rewards

The expected pay range for this position is $112,600 to $146,340. Your actual base salary will be determined on a case-by-case basis and may vary based on a number of considerations including but not limited to role relevant knowledge and skills, experience, education, certifications, and more.
