What this job involves - The Maintenance Scheduler will be responsible for scheduling work orders across multiple maintenance crews of 40+ technicians, owning and managing a master calendar, and will also be responsible for working in the CMMS system to add and remove assets as they are (de)commissioned and open/close work orders as needed. Work Order Scheduling experience is a must-have; CMMS experience is highly desirable but can be taught to the right person.
What is your day to day?
- Oversees the work coordination and scheduling function for multiple self-directed work teams.
- Manage weekly scheduling meeting with IFM and client to address priorities and schedule requests.
- Provide logistical coordination with other stakeholders (i.e., stock support, janitorial, grounds, purchasing, customers, security, and predictive maintenance)
- Maintain high computer skills necessary to access CMMS work order system, update equipment history, and access parts/material inventory management system
- Schedule work with production departments, print when needed/ and or have ready to execute in Mobile application, appropriate work orders when scheduled, track and report on the completion of work.
- Provides department reports and support audits both internal and client run
- Coordinate proper safety permitting and provides control of shutdowns, startups, and building services in support of building projects.
- Communicate clearly, understand and acknowledge verbal instructions, and be able to read and interpret work from drawings, written work orders, sketches, blueprints, and technical manuals.
- Able to schedule crews with understanding of duration times, multi craft efforts, and schedule breaker effects on weekly schedules through manpower availability forecasting.
- Manage extension requests and upload approvals as required.
- Present performance data to maintenance teams regularly.
- Work with RCM engineer, leads on PM optimization and review of associate tasks.
- Develop and maintain standard workflow process and provide a (1) month look-ahead Preventive Maintenance (PM) schedule to the team weekly.
- CMMS liaison for site; serve as a liaison for problem solving and escalation. Work with Global Team and Technician on a continuing basis until resolution.
- Monitor monthly KPI Metrics; gather work order history, notes, logs to determine progress of open records; present material to core team on a weekly basis.
- Provide Hard Services monthly KPI/SLA to Facility Coordinator for monthly SLA presentation with client.
- Coordinate work flow to meet site KPIs
- Manage work orders in CMMS; ensure proper creation, planning, scheduling, update and closure of work orders
- Audit support; run historical data, pull hard copies of work orders.
- Perform other job-related duties and special projects as requested.
Desired experience and technical skills -
Required
- Associate degree or combined technical training /relevant experience
- 3+ years scheduling work teams with CMMS systems
- Prior experience working in a Bio Pharma facility is preferred
- Excellent written and oral communication skills.
- Proficiency in various computer programs such as CMMS (Maximo), MS Word, Access, Excel, Project, Outlook, etc
- Able to work in a customer service environment interacting with the client. Able to stay on task and work independently with minimal direction and supervision.
- Interface – ability to effectively deal with customer/consumer complaints and must possess strong conflict resolution skills.

Pay: $62,000.00 - $74,000.00 per year
