Role Summary:
Reporting to the Contracts Manager, the Legal Systems Administrator is a key member of the Legal team. The person in this role will work to perform a variety of clerical and administrative tasks to support the organization.
Exciting work you will do:
The essential duties and responsibilities of the Legal Systems Administrator position will consist of, but are not limited to, the following:
- Contract management system/database administration
- Evaluate current processes and procedures and suggest changes or improvements as appropriate
- Work to implement approved process/procedure changes
- Engage with Kendall customers/vendors regarding the status of their review/response to redlines sent out by Kendall Legal
- Create contract records in the CMS for fully executed agreements and update the contract record with relevant details (commencement, expiration, expiration alerts, notes regarding renewal options, etc.)
- Address contract expiration notices autogenerated by the Kendall contract management system (“CMS”) and reach out to the appropriate responsible party to Kendall to inquire about whether we intend to renew, cancel, or update an agreement
- Assist Kendall employees in understanding how to utilize the CMS, how to load a contract review request, etc
- Set up new user accounts in the CMS and deactivate accounts of retired and terminated employees, reassigning the contracts of inactive employees to their replacement
- Process template agreement requests, reviewing for any errors before sending to the Contracts Manager to route for signature
- Create and distribute various type of reports from the CMS
- Maintain the corporate entity information in the CMS, such as business registrations, business licenses, appointments, corporate governance documents, etc. and address upcoming renewals/expirations
- Assist Kendall’s General Counsel and Contracts Manager in updating and maintaining documents for contracting policies and procedures
- Update and maintain the Kendall Legal SharePoint site

What you will need:
- Work Experience: 2 years’ administrative support and/or systems/database administrator experience
- Education: Associate’s degree
- Analytics/Computer Skills: 2 years working with MS Office
- Organization Skills: Highly organized and detail-oriented; ability to multi-task and shift priorities as needed; ability to work in a fast-paced, continuously changing environment
- Cross-functional skills: Ability to work well cross-functionally; provides excellent internal and external customer service
- Communication Skills: Ability to communicate well with all levels of the organization; strong interpersonal and customer service skills; high degree of discretion when dealing with sensitive and confidential information

Qualifications we prefer but do not require:
- Work Experience: 3 years’ experience in administrative support
- Education: 2 or 4-year technical or college degree, preferably Information Technology/Systems or Business related
- Analytics/Computer Skills: 2 years working with MS Office, SharePoint, and database management system
