The Benefits and Leave Specialist is expected to have an in-depth knowledge of benefits and the federal and state laws that govern them. They need to know how to sort out issues, like coordinating an employee's leave per the Family and Medical Leave Act (FMLA)/State Leaves or changing contributions in a 401(k) account. They're also the go-to person for our disability plans and both new hires and long-standing employees looking to make the most out of what our company benefits offers.
The Benefits and Leave Specialist provides direct support to the Benefits Manager, the Human Resources team, and our employees in general. This role is responsible for the day-to-day benefits administration, i.e., setting up and maintaining employee files, managing leaves, assisting with accommodations, and open enrollment benefits billing reconciliation, employee benefits problem resolutions, and some Human Resources duties.
Job Responsibilities:
- Maintains employee personnel, leave of absence, disability and workers' compensation files/records.
- Assist, supports, and own the process for employees to file for a leave of absence and disability
- Assist, supports, and own the process for employees applying for ADA Accommodations.
- Assisting employees in applying and managing the Workers' Compensation process.
- Reviewing/Auditing benefits invoices sent to A/P for processing.
- Assist with auditing and processing reimbursement program requests.
- Runs regularly scheduled and ad-hoc reports.
- Advises employees and managers on HR/Benefits procedures and policies.
- Handles day-to-day correspondence and communications with employees and managers.
- Leads special projects for the department.
- Performs administrative duties in support of the maintenance of employee records, including personnel status updates in the HRIS for leaves and related transactions.
- Ensures compliance with labor regulations.
- Audits employees on leave to ensure timely and accurate HRIS updates.
- Owns and completes State Benefits Audits (Unemployment requests from State Agencies).
- Investigate and Resolve Department Ticketing System Concerns, including but not limited to routing, reviewing, and following up on employee issues.
- Manages the Annual Benefits/Open Enrollment coordination and entry.
- Leads the Open Enrollment process.
- Lead/Conduct Benefits, New Hire Orientation, Leave, and other training.
Qualifications/Skills:
- 4 + years of successful experience in Benefits or Human Resources; with a preference for processing leaves and benefits inquiries
- BA/BS desired.
- Highly organized and with excellent attention to detail.
- Must be able to take the initiative and problem solve
- Ease with technology; preference for multi-database management.
- Understanding of human resources policies and procedures
- Knowledge of federal and state employment laws; experience with multi-state law desired.
- Must have in-depth knowledge of all significant categories of leave management, training, workers' compensation, and benefits.
- Excellent communication and people skills.
- Ability to analyze data effectively and provide recommendations.
- Outstanding knowledge of MS Office. Excel. MS Word and PowerPoint
Experience with ADP HRIS is a plus
Work environment:
Employees may experience the following physical demands for extended periods:
- Sitting, standing, and walking (95-100%)
- Keyboarding (40-60%)
- Viewing computer monitors, videophones, and cell phones requiring close vision (40-60%)
- Lifting computers and other equipment.
- Position may require some travel.
